IT Cost Controller and Administration Specialist

We are seeking an IT Cost Controller with administrative tasks to join our team. This role is critical in managing and overseeing various financial and accounting tasks related to our IT department. The ideal candidate should have a fundamental understanding of financial processes, accounting principles, and controlling functions. Proficiency in SAP, VIM, and Fiori is advantageous but not mandatory.
The main tasks and responsibilities include:
Invoice / PO Tasks:
1. Create and process Purchase Orders (POs) in SAP Fiori
2. Process invoices using Vendor Invoice Management (VIM) system
Accounting Tasks:
1. Perform rebooking’s in SAP, Organize and check recharges to other offices
2. Clear IT cost centre bookings from other departments (e.g., flights, mobile calls, payroll, rental facilities, HR recharges etc)
3. Book depreciation for active assets
Controlling Tasks:
1. Create and update plans for WBS (Work Breakdown Structure), Cost Centres, and Internal Orders
2. Create SKF (Statistical Key Figures) keys for salary allocations
3. Ensure all timesheets are submitted and reported to active budget items
4. Ensure timely payment of invoices including sending reminders for PO and invoice approvals
5. Verify provided bank account data
Report Tasks:
1. Create time reports for Finance, Accounting, and IT and check monthly IT cost reports
2. Send actual vs. plan details to team leaders upon request
Administration Responsibilities:
1. Plan and organize flight itineraries, transportation, and accommodations for employees
2. Process and manage expenses efficiently using the online platform SAP Concur
3. Reserve hotels, conference rooms, and meeting spaces as needed
4. Handle catering requirements for meetings and events
Qualifications:
1. Tertiary Qualification in finance, economics, accounting or a similar field.
Experience:
1. 5-10 years relevant experience
2. Fundamental understanding of financial processes and accounting principles
3. Excellent organizational and analytical skills
4. Ability to communicate effectively with team leaders and other departments
5. Attention to detail and adherence to deadlines
6. Proficiency in SAP, Vendor Invoice Management (VIM), and SAP Fiori is advantageous but not mandatory
