Job Description: We are seeking a seasoned and strategic Head of Operations and Administration to lead and optimize our company's operational and administrative functions. The ideal candidate will have a strong background in IT operations, exceptional leadership skills, and a proven track record of enhancing operational efficiency. This role is crucial for ensuring smooth day-to-day operations, effective administrative support, and alignment with the company’s strategic goals. Responsibilities Operational Strategy: Develop and implement operational strategies that align with the company’s goals and drive operational excellence. Process Improvement: Continuously evaluate and improve operational processes and policies to enhance efficiency, quality, and productivity. Project Management: Oversee and coordinate IT projects, ensuring timely completion within budget and scope. Office Management: Ensure the smooth running of office operations, including facilities management, office supplies, and equipment maintenance. Administrative Support: Oversee administrative support functions, including scheduling, correspondence, and record-keeping. Vendor Management: Manage relationships with vendors and service providers to ensure quality and cost-effectiveness. Team Development: Lead, mentor, and develop the operations and administration teams, fostering a culture of high performance and continuous improvement. Performance Monitoring: Set performance goals, monitor progress, and provide regular feedback to team members. Conflict Resolution: Address and resolve operational and administrative issues and conflicts promptly and effectively. Budget Management: Prepare and manage the operations and administration budgets, ensuring cost-effective utilization of resources. Financial Reporting: Oversee financial reporting and analysis for operational and administrative activities. Regulatory Compliance: Ensure operations and administrative functions comply with relevant laws, regulations, and industry standards. Reporting: Prepare and present operational and administrative reports to senior management, providing insights and recommendations for improvement. Quality Assurance: Implement and maintain quality assurance processes to ensure high standards of service delivery. Operational Planning: Develop and execute long-term operational plans to support the company’s strategic objectives. Resource Allocation: Ensure optimal allocation and utilization of resources, including personnel, technology, and infrastructure. Requirements: Education: Bachelor’s degree in Business Administration, Operations Management, Information Technology, or a related field. Master’s degree preferred. Experience: 12+years of experience in operations and administration management, with at least 5 years in a senior leadership role within the IT industry. IT Knowledge: Strong understanding of IT operations, infrastructure, and project management. Project Management: Proficiency in project management methodologies and tools (e.G., PMP, Agile). Software Proficiency: Experience with ERP systems and other operational and administrative software. Leadership: Proven leadership abilities with experience in managing and developing teams. Communication: Excellent verbal and written communication skills. Analytical Skills: Strong analytical and problem-solving skills. Organizational Skills: Excellent organizational and time-management skills with the ability to handle multiple tasks simultaneously. Interpersonal Skills: Strong interpersonal skills with the ability to build relationships and manage conflicts effectively. Certifications: Relevant certifications such as PMP, Six Sigma, or ITIL.
