Your Role
As a Back Office Team Leader, you will play a role in ensuring operations within our organization by managing our mail center and reception, coordinating a team of assistants and receptionists, and facilitating essential events and services.
This role is based in Pully.
Your responsibilities include:
Mail center and reception management (20%): Lead daily operations in our mail center and different receptions, by coordinating a team of 6 assistants and receptionists across Switzerland.
Receptionist duties (20%): Manage a planning for our reception in Pully and act as well as a receptionist for visitors and incoming calls. Greet all visitors with professionalism and friendliness, ensuring each person feels welcome in our Pully office.
Event organization (30%): Manage logistics and details for both internal and external events, from client visits to larger conferences. Coordinate event setup and provide hands-on support to the team on the day of each event, ensuring they run successfully.
Mail center support (30%): Handle diverse tasks to support the mail center’s daily activities, including the coordination of travel arrangements, preparation and delivery of documents and tenders, and drafting professional correspondence.

Your Profile
We’re looking for a Back Office team leader who is organized, reliable, and customer-focused, with a passion for creating a positive experience for all employees at ELCA and visitors.
Here’s what will make you successful in this role:
Between 10 and 15 years of experience in similar roles as: Back-office assistant, Senior assistant, Receptionist or Back-office Team leader
Previous experience in a team leadership role in an administrative or back-office setting is essential. You have a natural ability to guide and motivate a team, fostering a collaborative, trustful and productive work environment.
Experience with reception duties and event organization.
Excellent verbal and written communication skills in English and French (German is an asset). You’re a confident communicator who can make visitors feel welcome and support the team effectively.
Highly organized with a strong ability to prioritize tasks and manage multiple responsibilities simultaneously. You excel in planning events and overseeing daily operations.
Friendly, professional, and trustworthy, you bring a welcoming presence to the front office and exercise discretion when handling sensitive information.
Comfortable using Microsoft office, as well Outlook and Microsoft Teams and at ease with IT tools.
