We are seeking a proactive and detail-oriented Office Manager (60-80%) to oversee the day-to-day operations of our branch in Basel. The Office Manager will ensure the workplace runs smoothly, supporting staff, maintaining office systems, and fostering a productive and positive work environment. This role is critical in keeping operations efficient and maintaining a professional environment for employees and clients. The Office Manager reports directly to the COO Division Zurich/Basel.
Mission
To oversee the day-to-day operations of our branch in Basel.
Main Responsibilities
* Office Operations Management
o Maintain and organize office operations, systems, and procedures.
o Monitor and replenish office supplies, equipment, and services.
o Coordinate with vendors for office maintenance, repairs, and improvements.
* Administrative Support
o Manage branch appointments and correspondences.
o Organize company events, meetings, and branch activities.
* Staff Support
o Assist onboarding and orientation for new hires.
o Maintain office policies.
* Assist in budget management and invoice processing.
* Collaborate with accounting to manage petty cash.
* Communication and Culture
o Act as the primary point of contact for internal communication in Basel.
o Ensure the office adheres to health, safety, and compliance standards.
* Corporate Social Responsibility
o Support and manage the CST activities/projects of the Basel branch.
o Collect data for carbon footprint assessment and maintain statistics.
o Actively participate in the internal worldwide CSR meetings by video conference and deliver results from the Basel branch.

This is a permanent, 60-80% role located in Basel.
(Due to the responsibilities of this role, remote work is unfortunately not possible or only very limited.)

Experience

* Experience required: Proven experience as an Office Manager, Administrative Manager, Personal Assistant, or a similar role (7-10 years experience)
* Excellent organizational and multitasking skills
* Experience in communicating professionally with various stakeholders on different seniority levels
* Experience in private banking: Preferred
