Office Administration and Sales Back-Office Associate

We have an immediate opening for an office administration and sales back-office associate, reporting to the country operations manager. This is not a standard administration job. The ideal candidate must be extremely capable in dealing professionally with multiple stakeholders in a complex international environment. He/she will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to work with minimal supervision and meet tight deadlines will ensure success in this multi-faceted role.
This position is for a part-time (40-60%) contract, and requires in-person work on site. You will be based in our Zürich office in Oerlikon. Proof of existing Swiss residency (B/C permit with right to work) or citizenship is required.
Your Responsibilities
* General office organization
* Book-keeping
* Full sales back-office process: quotes, invoicing, boxing and shipping, customer follow-up
* Coordination with production department
* Reviewing sales-related documents (terms and conditions, distributor agreements, etc.)
* Running errands, scanning and filing documents, and any other office task required to ensure a smoothly-run, clean office for employees and visitors
* Ad-hoc support as needed (solve any problem, no matter what it is)
Required qualifications and experience
* Proficient in Microsoft Office suite, and very comfortable with office PC/Mac usage in general
* Some expertise in using Microsoft Excel is required (e.g. pivot tables, cell validation)
* Experience in book-keeping and using accounting software
* Fluent English (C1) and German (B2) (written and spoken) are absolutely essential
* Professional training in any field - the field itself is not important
* A detail-oriented, meticulous approach to any task, no matter how big or small
* Strong interpersonal, customer service and communication skills, whether you are dealing with co-workers, professors, cleaners, CEOs, or students
* Strong individual initiative, with an ability to multitask and think quickly
* Absolute discretion when dealing with confidential documents and discussions
* A demonstrated ability to handle any situation with a minimum of fuss
Desired qualifications and experience (not required, but beneficial)
* Experience in import/export shipping
* Any experience in CRM and/or sales order processing (Hubspot or similar)
* Any experience in online or in-person marketing
* Any experience or ability in using graphic design tools (e.g. Canva, Adobe)
* Any other experience related to company operations (legal, HR, purchasing, etc.)
* Any knowledge of other languages (French, Italian, Spanish, Chinese, etc.)
