**Job Summary**
The Executive Assistant will provide direct support to the Chairman, serving as the primary liaison for internal and external stakeholders. This role requires a proactive professional who can anticipate needs, make swift decisions, and handle sensitive matters with discretion.
The ideal candidate will have exceptional time management skills, be able to prioritize multiple projects, and drive projects from conception to completion. They will also have excellent organization skills, facilitating the successful planning and execution of corporate events.
**Key Responsibilities**
* Inbox and Correspondence Management: Draft and handle correspondence and corporate materials with discretion.
* Calendar Mastery: Manage complex global calendars with precision, anticipating changes and dynamically adapting travel plans to optimize the Chairman's schedule.
* Travel Management: Oversee all aspects of business and personal travel, including logistics, luncheons, dining, and expenses.
* Event Planning: Organize and coordinate board, committee, and shareholder meetings, and support the planning of AGMs and key governance events.
* Corporate Record Management: Maintain corporate documents, board minutes, and policies using Board Portal software, ensuring sensitive records are securely stored.
**Qualifications and Attributes**
* A commercial degree and/or a bachelor's degree complemented by further education in executive assistance.
* 10+ years of experience supporting C-suite executives, board members, or investors in a global PLC.
* Excellent time management and prioritization skills, effectively handling multiple projects and competing deadlines.
* Emotional intelligence, professionalism, strong business ethics, and the ability to handle sensitive matters.
* Fluency in English and German (C2 level CEFR) required.
* Proficiency in Microsoft Office and collaboration tools (MS Teams, Zoom); experience in board management software (e.g., Sherpany, Diligent Boards, Brainloop) is considered an advantage.
