Your tasks
- Manage and schedule internal and external appointments and meetings for executives
- Organise virtual-live conferences, including Tele-Presence, video, and telephone meetings
- Support executives in expatriate matters and coordinate with US administrative counterparts
- Assist in budget management and financial systems
- Maintain and plan Outlook calendars, including mailbox screening for executives
- Prepare expense reports for travelling executives
- Create and edit presentations in PowerPoint
- Arrange travel bookings (flights, hotels, meeting facilities) and handle travel settlements
- Organise internal and external events, including catering and hosting of guests
- Manage stationery supplies for the department
Your profile
- Commercial education or equivalent (KV); higher-level education is highly preferred
- At least 5+ years of experience as a general administrative assistant in an international business environment
- Fluent in English (oral and written); German preferred
- Very strong MS Office skills (Excel, Word, PowerPoint)
- Proactive, team-oriented, and flexible with a young and motivated mindset
- Optimistic, passionate, and committed to going the extra mile
- Open to feedback and learning
- Excellent ability to multi-task and support multiple executives
