Main Tasks & Responsibilities
The successful candidate will be responsible for all matters related to personnel administration, serving as the connection between management and employees.
Administration & Compliance
* Maintain Accurate Employee Records: Ensure contracts, certifications, permits, and performance evaluations are up-to-date and accurate.
* Ensure Full Compliance: Maintain awareness of local labor laws, industry regulations, and company policies to avoid any discrepancies.
* Oversee Onboarding & Offboarding: Coordinate contract issuance, AHV registration, and exit documentation to ensure a smooth transition for employees.
* Support Audits: Provide necessary documentation and ensure data accuracy to facilitate audits.
Payroll & Benefits Administration
* Oversee Payroll Processing: Ensure timely and accurate processing of payroll, resolving salary-related inquiries when necessary.
* Coordinate with Payroll Department: Collaborate with the payroll department for seamless execution and resolve salary-related inquiries.
* Benefits Administration: Properly administer benefits packages (pension, accident insurance, transportation allowances, etc.) to meet employee needs.
* Track Overtime & Leave Balances: Monitor overtime, leave balances, tax deductions, and compensation adjustments to maintain fairness and accuracy.
* Implement Payroll Automation Solutions: Enhance efficiency by introducing automation solutions for payroll processing.
Employee Relations & Support
* Serve as First Point of Contact: Respond to employee inquiries in a timely and professional manner.
* Mediate Internal Disputes: Act as a mediator for internal disputes and grievances, collaborating with CHRD and HODs for resolutions.
* Lead Employee Engagement Initiatives: Develop feedback mechanisms, well-being programs, and conflict resolution strategies to foster a positive work environment.
* Foster Inclusive Workplace Culture: Encourage a collaborative and inclusive work culture through employee recognition and communication initiatives.
HR Strategy & Workforce Planning
* Develop Long-Term HR Strategies: Assist CHRD in developing long-term HR strategies aligned with business objectives.
* Talent Acquisition & Retention: Collaborate with leadership on talent acquisition, retention strategies, and succession planning.
* Analyze Workforce Trends: Forecast staffing needs, addressing seasonal adjustments and business growth.
* Support HR Budgeting: Ensure efficient allocation of HR resources by supporting HR budgeting and cost optimization.
Performance Management & Talent Development
* Implement Performance Management Systems: Establish structured performance management systems including goal setting, performance reviews, and career progression plans.
* Guide HODs: Educate HODs on performance improvement plans (PIPs) and disciplinary actions when necessary.
* Create Career Development Pathways: Work with leadership to create career development pathways and internal mobility programs.
* Establish Reward & Recognition Framework: Motivate high performance by establishing a reward and recognition framework.
HR Communication
* Act as HR Liaison: Address team concerns, compliance, and operational needs as the HR liaison for HODs.
* Facilitate Regular Meetings: Facilitate regular HR update meetings with department heads to ensure strategic alignment.
* Provide Guidance: Offer guidance on labor laws, best practices, and policy updates.
* Support Employee Surveys: Support employee surveys, internal events, and engagement programs to enhance workplace culture.
Training & Development
* Identify Skills Gaps: Recommend tailored training programs to address identified skills gaps.
* Organize Workshops & Certifications: Collaborate with MRH L&D team to organize workshops, certifications, and e-learning initiatives.
* Ensure Mandatory Training: Ensure mandatory compliance and safety training is completed on time.
* Evaluate Training Impact: Monitor and evaluate the impact of training programs, maintaining records of participation and hours completed.
HRIS Data & Management
* Maintain Accurate Employee Data: Ensure accurate employee data in the HRIS, adhering to data protection regulations.
* Generate Real-Time Reports: Generate real-time HR analytics reports on key metrics (absenteeism, turnover, retention, payroll costs, etc.).
* Utilize HR Automation Tools: Streamline administrative tasks, payroll, and employee self-service options using HR automation tools.
* Introduce AI-Driven Analytics: Introduce AI-driven talent analytics to enhance hiring decisions and workforce planning.
Team Management
* Lead & Mentor HR Team: Lead and mentor the HR team, ensuring clarity of responsibilities and ownership of tasks.
* Foster Open Environment: Foster an open and supportive environment where employees feel comfortable sharing feedback.
* Cultivate Continuous Learning: Encourage continuous learning, professional growth, and cross-functional collaboration.
* Set Clear KPIs: Set clear KPIs for HR team members and regularly track their performance against goals.

You should have:

* Language Skills: Fluency in German and English, both written and spoken, with additional European languages being an asset.
Experience
Your experience should include:
* Professional Experience in Recruitment or Administration: A minimum of 2 years' experience in recruitment or administration, preferably in the hospitality industry.
* Experience in Hospitality or Human Resources: Previous experience in hospitality or human resources, with a focus on employment law, recruitment, and talent management.
* Knowledge of Swiss Labor Law: Strong knowledge of Swiss labor law, with the ability to apply it in practice.
* Solid PC Skills: Proficiency in Microsoft Office applications, including Word, Excel, Outlook, time tracking, and HRIS software.
