As the Executive Assistant, you will play a pivotal role in ensuring the smooth operation of the leadership team’s offices. This position is ideal for a detail-oriented, proactive professional with strong organizational skills and the ability to work effectively in a fast-paced, international environment
Key Responsibilities
1. Administrative Support: Manage the calendars, appointments, and travel arrangements of executives, ensuring optimal time management. Handle emails, correspondence, and communications on behalf of the executives. Prepare and organize documents, presentations, and reports using Microsoft Excel, Word, Outlook, and PowerPoint. Coordinate and organize internal and external meetings, including drafting agendas and taking meeting minutes
2. Operational Assistance: Act as a liaison between executives and internal teams as well as external stakeholders across Europe, Asia, and North America. Track key projects and deliverables, ensuring timely follow-ups and updates for the executives. Conduct research and compile information to support decision-making
3. Cross-Cultural Collaboration: Facilitate seamless communication with team members and partners across multiple countries. Utilize language skills to support international operations (fluency in French and English required; Italian is a plus).
4. Proactive Problem Solving: Anticipate the needs of executives and address potential challenges before they arise. Identify opportunities for improving administrative and operational efficiency
