About the Role
We are seeking a highly organized and proactive Chief Executive Officer (CEO) Assistant to support our CEO in Zurich. As a key member of our team, you will be responsible for providing exceptional administrative support, ensuring seamless execution of tasks, and maintaining a high level of professionalism.
Main Responsibilities:
1. Manage all communication channels, including emails, phone calls, and messages, to ensure timely and effective response.
2. Research, book, and arrange transportation and accommodation for business travel, considering budget constraints and preferences.
3. Receive, review, and deliver important information to relevant stakeholders, both internally and externally.
4. Coordinate the CEO's calendar, scheduling meetings, appointments, and events with utmost precision.
5. Accurately track, record, and process expenses, receipts, and invoices, ensuring compliance with company policies.
6. Prioritize and resolve scheduling conflicts efficiently, minimizing disruptions to the CEO's schedule.
7. Perform additional tasks as required by the CEO, demonstrating adaptability and a willingness to learn.
Requirements:
1. Proficient in Microsoft Office, with excellent skills in Word, Excel, and PowerPoint.
2. Superior written and verbal communication skills, enabling clear and concise interaction with colleagues, clients, and external partners.
3. Demonstrated ability to analyze problems, prioritize tasks, and make sound decisions under pressure.
4. Proven experience in arranging travel and scheduling meetings/appointments, with a strong attention to detail.
5. A minimum of 2-5 years of experience in a Personal Assistant or Executive Assistant role, preferably at a C-Level.
6. Previous experience working in a fast-paced environment, handling confidential information, and maintaining discretion is highly desirable.
