YOUR ROLE
The Executive Vice President Assistant will be based in Geneva at the Headquarters and will be part of the Audit & Risk Organization, whose mission is to enhance and protect organizational value by providing risk-based and objective assurance, advice, and insights.
It is a multi-nationalities organization of 40 people, across various locations in France, Italy, Switzerland, Singapore, and the USA.
The Executive VP Assistant will be responsible for a wide range of tasks including:
1. Managing EVP’s agenda - Prioritizing e-mails
2. Handling incoming and outgoing communications on behalf of the CA&RE.
3. Organizing and coordinating internal and external meetings
4. Ensuring all necessary materials and documents are prepared and distributed in advance of meetings.
5. Organizing events (Audit & Risk conference, Risk & Resilience conference)
6. Managing travel arrangements and all related logistics, including processing expense reports (Concur)
7. Assisting in the preparation of quarterly meetings with key executives (CEO, CFO…) and monthly meetings with AC Chair.
8. Assisting in the preparation of presentations (Executive staff meetings, Audit Committee meetings, Annual activity report, Audit planning workshop…) and other documentation as required by the CA&RE
9. Maintaining and organizing the CA&RE's files, records, and documentation in a systematic and accessible manner.
10. Following up on audit activity / preparing reports (Enablon)
11. Preparing budget information and reports (SAP, Excel)
12. Assisting in the preparation of audit fees information and reporting to the Audit Committee
13. Serving as a liaison between the CA&RE and other stakeholders or external parties (External Auditors, …)
14. Enabling relevant information flow/storage, working with company digital communication tools (Teams, SharePoint, etc...)
15. Coordinating with other organizations and support functions (i.e., Accounting, Compliance, Ethics & Privacy, Human Resources, Information Technologies, Legal & IP, …).
16. Partnering with peers worldwide
17. Acting as point of contact with external visitors
18. Performing other related duties as required.

1. Strong integrity as exposed to confidential and sensitive information

3. Strong interpersonal skills to build relationships with stakeholders and manage a large network (in remote)
4. Proactive approach to problem-solving
5. Diplomacy and sound judgment to respond to all circumstances, predictable and unpredictable.
6. Strong self-organizing skills and excellent time management
7. Ability to multitask and prioritize, maintaining relevant balance amongst various priorities
8. Agility to work under time pressure
9. Ability to treat confidential information with appropriate discretion
10. Strong verbal and written communication in English, attention to detail
11. Fluency in French (or/and Italian) would be a plus
12. Familiar with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
13. Knowledge of SAP environment would be a plus
Profile
1. Executive Assistancy role at a large international company
2. Experience in Audit, Risk or Finance Function is a plus, yet not necessary
3. Interest in working in a multi-cultural team
4. Autonomous, dynamic, agile, and capable of discernment
