Facilities Coordinator, Geneva - Temporary position

The purpose of the function is to provide the Ralph Lauren employees with a pleasant and professional environment by coordinating and taking the appropriate technical and operational actions. This is a temporary position for a duration of 6 months.
Operational responsibilities (70%):
* Creating and managing all POs and invoices related to area of responsibilities
* Following and managing contracts renewals and keeping vendors contracts under control (filed and up to date)
* Managing and supporting all inbound and outbound mail & transport activities for all departments
* Managing the relationship with carriers
* Managing office supplies replenishment, European stationary, stock and reordering
* Supporting internal moves and logistics activities
* Making sure all conference rooms are properly handled & operational (equipment, light, clean, etc.)
* Providing logistical support during corporate events (transportation, delivery, installation, site set-up, repacking)
Technical responsibilities (30%):
* Maintaining our offices including technical repair & maintenance
* Coordinating external interventions and managing the corresponding vendors and contracts
* Verifying all installations and ensuring compliance with RL standards and local law requirements (safety, security, fire detection, HVAC, plumbing, …)
* Ensuring all building’s environment and equipment are always safe, functioning and up to RL standards
* Being in charge of all general handling activities in and out the building
Experience, Skills & Knowledge:
* Interest for & ability to perform daily technical maintenance tasks
* Administrative experience (mail management, 3rd-parties delivery organization, invoicing, vendor management)
* Strong data accuracy/precision/detail-oriented
* Excellent communication skills; some negotiation skills is a plus, experience with external business partners interactions
* Ability to manage autonomously Facilities operations activities
* Fast-learner, strong autonomy
* Strong operational skills and hands-on spirit
* Strong flexibility, ability to prioritize tasks
* Fluent in French and English. Fluency in other European languages would be an asset
