The International Olympic Committee is the guardian of the Olympic Games and the leader of the Olympic Movement.
A truly global organisation, it acts as a catalyst for collaboration between all Olympic stakeholders, including the athletes, the National Olympic Committees, the International Federations, Organising Committees for the Olympic Games, the Worldwide Olympic Partners and Olympic broadcast partners. It also collaborates with public and private authorities including the United Nations and other international organisations.
About the role:
As the Games Delivery Office Trainee you will be offering support for projects managed by the Games Delivery Office in the Olympic Games Department and support the preparation and delivery of internal meetings and meetings with Organising Committees.
Your responsibilities:
Responsibilities to our internal Games Delivery Office team
1. Support the Games Delivery Office in relation to a range of projects providing support to organising committees and developing the tools and information to support them. This covers the entire lifecycle, including identification of needs, technical development, implementation and adoption, with effective project management throughout.
2. Monitor and track progress of projects using appropriate tools and systems, for example, the RADIO (risks, actions, decisions, issues, opportunities) register.
3. Take part in project team meetings to present project progress updates, communicating deadlines and milestones to be met, flagging any due dates not met as well as be responsible for meeting logistics, technology set up and note taking outputs.
4. Escalate issues and risks when identified to the relevant manager in the Games Delivery Office.
5. Contribute to internal projects designed to improve efficiencies in the ways of working across our team.
6. Gather, analyse and present relevant data and information to support effective decision-making.
7. Contribute to the presentation of data, findings and recommendations, ensuring communications are targeted and presented appropriately for the audience and in the relevant format.
8. Support the Games Delivery Office in the development of outputs such as reports, presentations, dashboards, statistics etc. using an excellent command of Microsoft Office 365 applications.
9. Provide comprehensive administrative, logistical and technical support to the Games Delivery Office team.
10. Organise the preparation, delivery and follow-up of meetings and workshops, both internal and with the Organising Committees, for example, invitation management, technology set-up for presenters and participants, room bookings, document management.
11. Support internal team communications and keep colleagues informed of relevant information, ensuring it is received in a timely manner.
Responsibilities to our Games Delivery Office teams interfacing with Organising Committees
1. Support the lead persons in charge of each of the Olympic Games and Youth Olympic Games in the preparation, delivery and follow-up of key Organising Committee meetings and workshops, across the entire lifecycle of a Games, for example, Coordination Commission (CoCom), Delivery Partner Meetings (DPM), IOC Sessions, IOC Executive Board Updates and YOG (Youth Olympic Games) Steering Committee.
2. Assist and support the Games Delivery team members responsible for the completion of key project documentation in order to maintain the quality of information (e.g. Smartsheet, RADIO register).
3. Assist and support the Games Delivery team to keep the Games Delivery Hub (Sharepoint) up to date.
4. Contribute to a variety of projects which have impact across several areas of delivery across multiple Games editions.
5. Support any other ad hoc activities required by the Games Delivery team.
Responsibilities to our stakeholders
1. Build cooperative relationships with colleagues across the Games Delivery Office, both within the central team and with each lead in charge of the Games editions.
2. Support stakeholders across the Games Management Team to adopt central tools, systems, and processes.
3. Collaborate with the relevant stakeholders as required, communicating clearly, asking questions and integrating stakeholder feedback as required.
4. Demonstrate agility, taking new information on board quickly and accepting diverse perspectives or changing circumstances. Cultivate trusting and two-way relationships for achieving better results.

Responsibilities at Games-time
1. At Games-time, support and contribute to the administrative and logistical tasks required in the Games Delivery Office during the operational phase of Games delivery (whether this is in Lausanne or in Games host city).
2. Support the logistical arrangements required in the preparation, delivery and follow-up of team training, for example invitation management, room bookings, coordination of GDO School session material distribution.
Our requirements
1. University level education.
2. Fluent English and French oral and written skills.
3. Excellent command of MS Office 365 applications (e.g. Outlook, Word, Excel, PowerPoint, SharePoint) and Smartsheet.
4. Excellent relationship building skills.
5. Demonstrates an understanding of working in diverse and multicultural environments.
6. Ability to plan tasks, manage priorities, and organise own time to meet work requirements and commitments.
7. Very good analytical skills, ability to gather quality information or feedback to support understanding of key issues and their effect.
