The Import/Export Specialist
is a vital role responsible for managing and optimizing the export of our products from our headquarters in Zurich to customers worldwide, coordinating inter-company exports to our facilities in the United States, and overseeing imports from our suppliers (mainly from Asia) to both our Zurich HQ and US offices. This position ensures compliance with international trade regulations, enhances logistical efficiency, and maintains strong relationships with global partners. The ideal candidate will have comprehensive knowledge of international trade laws, excellent organizational skills, and the ability to navigate complex supply chain dynamics to support the company’s global operations and growth objectives.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Export Operations:
* Coordinate and manage exports from Zurich to international customers and US facilities.
* Ensure accurate and timely documentation for all export shipments.
Import Operations:
* Oversee imports from Asian suppliers to Zurich HQ and US offices.
* Collaborate with suppliers and logistics partners to streamline import processes.
* Maintain compliance with all import regulations and standards.
Compliance and Documentation:
* Ensure all activities adhere to international trade laws and customs regulations.
* Prepare and review essential documents such as invoices, packing lists, and certificates of origin, and manage EUR1 certificates.
* Stay updated on changes in trade regulations and adjust processes accordingly.
Logistics Coordination:
* Work with freight forwarders, customs brokers, and transport providers to manage shipments.
* Optimize shipping routes and methods to reduce costs and improve delivery times.
* Monitor and resolve shipment issues promptly.
* Lead packaging preparation to ensure products meet company and regulatory standards for international shipping.
Relationship Management:
* Build and maintain strong relationships with international customers, suppliers, and logistics partners.
* Negotiate contracts and agreements to secure favorable terms.
* Serve as the primary contact for import/export inquiries.
Process Improvement:
* Analyze current import/export processes to identify and implement improvements.
* Lead initiatives to enhance supply chain efficiency and reduce operational risks.
Reporting and Analysis:
* Prepare regular reports on import/export activities, including metrics and cost analysis.
* Provide insights and recommendations to senior management for strategic decisions.
EDUCATION/QUALIFICATIONS
* Bachelor’s degree in International Business, Supply Chain Management, Logistics, or a related field. Master’s degree preferred.
* 3-5 years in import/export management or international trade roles.
* Experience managing complex international shipments and global supply chains.
* Strong understanding of international trade laws and customs regulations.
* Proficiency with import/export software and ERP systems (e.g. odoo).
* Excellent organizational and project management abilities.
* Strong analytical and problem-solving skills.
* Exceptional communication and negotiation skills.
* High attention to detail and accuracy in documentation.
* Ability to work effectively in a fast-paced, global environment.
* Certified International Trade Professional (CITP) or similar certifications are a plus.
* Fluent in English, additional languages are advantageous.
