Administrative Assistant
About the job
We are seeking a highly motivated and experienced Administrative Assistant to join our Administration Department in Epalinges, in a full-time position. You will report directly to the Chief Operating Officer and play a key role in supporting the administrative needs of our executive team and contributing to the development of our administrative infrastructure.
Primary Responsibilities:
1. Provide high-level administrative support to the CEO, the COO and other senior executives, including calendar management, travel arrangements, meeting coordination, and expense reporting.
2. Manage relationships with insurance providers and ensure compliance with insurance contracts.
3. Provide support for accounting and banking operations, including invoice processing, expense tracking, and vendor management.
4. Collaborate with the Administrative Team on general administrative tasks, such as office management, supply ordering, and event planning.
5. Handle sensitive and confidential information with discretion and professionalism.
Requirements:
Obligatory:
1. A CFC of employé.e de commerce, ideally profil M or HEG diploma
2. At least 5 years of professional experience in a similar role, preferably supporting senior executives
3. Fluency in English mandatory and French is a plus (written and spoken)
4. Strong proficiency in Microsoft Office and Google Suites
5. Excellent organizational, communication, and interpersonal skills
6. Ability to work independently and as part of a team in a fast-paced environment
7. High attention to detail and accuracy
8. Proactive problem-solving skills
A strong plus:
1. Experience working in a biotechnology or pharmaceutical company
2. Familiarity with US company operations
A plus:
1. Knowledge of Swiss HR, insurance, and accounting regulations
2. Experience with ERP systems, particularly Odoo
