Our client is a Non-Profit Organisation based in Geneva. To complete their team, they are currently looking for a Project Manager to act as an Officer of Operational Efficiency who will lead a comprehensive, end-to-end approach to business development and continuous improvement for the grant management processes under their responsibility.
Key responsibilities include:
1. Coordinate Development: Manage the creation and implementation of grant management regulations, operational policies, and processes across various divisions and departments, ensuring deliverables meet operational efficiency standards through meticulous work planning and project management.
2. Future System Needs: Track and propose future operational system requirements and assess resource needs and benefits.
3. Procedure Development: Develop and revise grant management procedures in consultation with business owners.
4. Integrated Review: Coordinate with business process owners and the Specialist, Operational Integration, to review and assess the impact of proposed policy and regulation changes on procedures, systems, and data.
5. Business Requirements: Develop business requirements, collaborate with IT on solution development, review functional specifications, draft test scripts, and coordinate data migration strategy, timelines, and requirements with IT and the Specialists, Operational Integration.
6. UAT and Go Live: Design and execute User Acceptance Testing (UAT) and Go Live approach, manage the planning, execution, and closure of the UAT plan for the system delivery of assigned streams, in coordination with business process owners.
7. Documentation: Document revised procedures and provide them to the Change Coordination team for uploading on the GM SharePoint site.
8. Change Management Plan: Develop change management plans and materials (communications, training, and launch planning) in coordination with business owners and the GM Change Coordination team for policy, process, and system changes, ensuring stakeholder stewardship.
9. Execution: Execute assigned change management activities.
10. End-User Support: Implement an end-user support model for business processes, ensure high-quality and timely support, and regularly track user queries and incidents.
11. Monitoring Approach: Propose a risk-based monitoring approach for grant business processes in coordination with DASH, including performance improvement targets if applicable.
12. Metrics Monitoring: Monitor key operational efficiency metrics, document exceptions, report to senior managers, and provide feedback to business owners.
13. FAQs and Diagnostics: Draft FAQs for policy, process, and system-related questions based on support queries received, and periodically diagnose operational business processes and procedures to define improvements and best practices.
The ideal profile:
1. At least three years of professional experience, including in policy development, business process analysis, or program planning and management.
2. Proficiency in project management methodology.
3. Experience in coordinating cross-divisional teams.
4. Familiarity with the Salesforce Platform.
5. International development experience, particularly in an international organization, non-profit, or private sector, is an advantage.
6. An excellent knowledge of English and preferably a good working knowledge of French or one of the following: Arabic, Chinese, Russian, and Spanish.
