The Team Assistant Finance is responsible for a wide variety of administrative duties in support of the senior Finance Team, including the Head of Group Finance, the Head of Group Treasury, Head of Group Tax, and the Chief Accounting Officer.
Duties include, but are not limited to, scheduling appointments and drafting both internal and external correspondence, arranging travel plans, managing expenses, meeting minute-taking and distribution, and circulation of documents for signatories.
The Team Assistant must be adept at scheduling a high volume of meetings, managing conflicting schedules, and liaising with other members of the Executive and Senior Management team.
To be successful in this position, the candidate must be detail-oriented and results-focused and have a demonstrated ability to multi-task and prioritize in a rapidly changing environment.
Your Key Responsibilities:
* Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
* Provide general administrative support to the wider Finance team members, helping with general administrative tasks. Maintain the administrative processes, also in case of absence of the line manager/team members.
* Review presentations for structure and formatting.
* Draft internal and external correspondence.
* Take meeting minutes and track related actions.
* Circulate and track documents for signing, and maintain filing of signed documents for easy retrieval.
* Inform, advise and support the team and associates from outside the team on processes, guidelines, and services that are specific to the department.
* Handle administrative project tasks with clearly defined content and time limitations.
* Act as a team member for administrative projects and manage the administrative part of special tasks.
* Help ensure a smooth onboarding for new employees joining the department, as well as a smooth offboarding process for employees and contractors leaving the company.
What you’ll bring to the role:
Essential Requirements:
* Bachelor's degree in a related field or comparable education.
* Fluent English (written and spoken).
* Demonstrated experience in a similar role, ideally within a large international environment.
* Experience of managing multiple diaries and competing schedules, prioritizing and multi-tasking as necessary.
* Strong organizational and time management skills.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite, and technology savvy.
* Strong problem-solving skills with the ability to streamline processes and improve efficiency.
* Ability to handle confidential information with discretion.
* A collaborative mindset and a strong team player.
Desirable Requirements:
* German would be advantageous.
