For our client, a well-established multinational company based in Zurich, we seek a dynamic and flexible professional to support the Vice President of HR as an Executive Assistant.
Key Responsibilities:
* Provide high-level administrative support to the CEO and other members of the Executive Team as required.
* Foster strong relationships with key internal and external stakeholders of the organization.
* Coordinate administrative arrangements for board meetings, including committee management.
* Collaborate with other executive assistants to ensure seamless support.
* Arrange travel and accommodations as needed.
* Prepare documents and correspondence with precision.
* Manage incoming calls, screen callers, relay messages, and greet visitors.
* Process expense claims, reconciliations, and invoices efficiently.
Requirements:
* A minimum of 5 years of secretarial experience, with at least 3 years in a senior role.
* Excellent computer literacy and proficiency in Microsoft Office.
* The ability to work under pressure, meeting deadlines while maintaining quality standards.
* A keen eye for detail and organizational skills.
* Flexibility to adapt to business needs, even in a part-time capacity.
* Experience handling confidential information.
* Proactive approach to anticipating issues and needs related to diaries, travel, and meeting requirements.
* Effective collaboration in a multicultural team environment.
* Ability to take ownership of tasks and see them through to completion.
* Strong prioritization and time management skills.
* Fluent communication across multiple levels of the business.
* Proficiency in both German and English is essential.
