The position
Novo Nordisk is looking for an organized and proactive Front Desk and Team Assistant to support our Vice Presidents and ensure smooth day:to:day operations across our office. This role is integral to maintaining a professional and efficient workplace, providing essential administrative and reception services, and contributing to an engaging and productive environment.
Key Responsibilities:
- Administrative Support: Manage calendars, travel arrangements, and itineraries for Vice Presidents, ensuring efficient scheduling and preparation for all commitments.
- Team Assistance: Provide general support to the team, facilitating collaboration and contributing to the success of various projects and tasks.
- Event Coordination: Plan and organize department events, managing logistics such as venue selection, catering, and equipment setup.
- Facility and Operations Management: Oversee office facilities, handle invoices, and ensure a safe and well:stocked work environment.
- Reception and Front Desk Duties: Serve as the first point of contact for visitors and callers, managing mail, phone calls, and a welcoming reception area.

Qualifications
- High school diploma or equivalent; certification in office administration preferred.
- Fluent in German and English; additional languages are an advantage.
- Proficient in Microsoft Office (Outlook, Teams); familiarity with SharePoint is a plus.
- Excellent verbal and written communication skills.
- Strong organizational skills with attention to detail.
- Effective at managing and maintaining relationships with stakeholders.
- Flexible and capable of handling changing priorities.
- Proactive in identifying and resolving issues efficiently.
- Works effectively in a team:oriented environment.
