Job Title: Sales Support Specialist
About the Role
We are seeking a highly skilled Sales Support Specialist to join our team. This is a 7-month contract position based in Geneva, Switzerland.
Your Responsibilities:
* Manage order and project workflow, ensuring timely completion and accuracy.
* Oversee financial and billing administration, including preparing and sending invoices.
* Provide operational and sales support, responding to customer inquiries and resolving issues.
* Process customer purchase orders (POs) and update SAP data in the SD module.
* Prepare and share transport documentation for daily deliveries.
* Follow up on non-recurrent costs (NRC) invoicing for engineering, testing, and other services.
* Create and send invoices for delivered transformers, ensuring correct incoterms.
* Manage overdue invoices and follow up on payments.
* Update Salesforce with quotes and opportunity closures for the sales team.
* Support sales orders creation and maintain delivery/invoicing address in the MDG database.
* Handle credit notes, B&H agreements, and monthly storage invoicing.
* Archive invoices, credit notes, and related documents in SharePoint.
* Update Salesforce for the sales team, including quote creation and technical data entry, conduct monthly opportunity closures in Salesforce.
* Manage CIT follow-up, ensuring timely reminders to internal stakeholders.
Qualifications and Skills:
* Mid-level experience in an administrative or sales support role, preferably in an industrial setting.
* Mandatory experience with SAP (SD module); experience with Salesforce is a plus.
* Strong Excel and Office Suite skills.
* Bilingual in French and English; German is a plus.
* Excellent written communication and organizational skills.
* Proactive, detail-oriented, and able to manage multiple tasks.
