Office Manager with HR Administration Responsibilities
Nanoflex Robotics is an innovative medical startup spun out of ETH Zurich in 2021. We are dedicated to building a next-generation telerobotics platform that facilitates patient access to life-saving interventions. We are looking for a motivated and organised Office Manager to join our team and help us create a productive and positive work environment. As an Office Manager with responsibility for HR administration, you will play a crucial role in ensuring the smooth running of our office and supporting our HR department. You will be responsible for a variety of tasks that contribute to the efficiency and effectiveness of our workplace.
Key Responsibilities
Office Management:
* Smooth running of daily office operations.
* Managing the stock of office supplies and placing orders as required.
* Monitoring and initiating payment transactions.
* Processing incoming and outgoing mail and parcels.
* Assisting with the reconciliation of credit card statements.
* First point of contact for employees and guests.
* Assisting with the planning and organisation of meetings, events and travel arrangements.
* Coordinating the maintenance and repair of office equipment and facilities.
HR Administration:
* Responding to employee enquiries and assisting with HR related matters.
* Maintaining employee files and ensuring data accuracy and confidentiality.
* Assisting with new employee onboarding and conducting orientation meetings.
* Assisting with benefits administration and payroll.
* Assisting with performance appraisals, including scheduling appraisal interviews, preparing required documentation and tracking employee performance metrics.
* Assisting the HR department with recruitment, including posting job adverts and scheduling interviews.
Profile
* Proven experience as an office manager, HR administrator or in a similar role.
* Excellent organisational, multitasking and problem-solving skills.
* Strong communication and interpersonal skills.
* Proficiency in MS Office (Word, Excel, Outlook).
* Knowledge of office management procedures and basic accounting principles.
* Ability to maintain confidentiality and handle sensitive information.
* Knowledge of labour laws and regulations and HR software is an advantage.
* Fluency in German and English is a must.
