The Senior Associate, Operations is responsible for overseeing the efficient and effective management of Gold Standard facilities and office operations. This role involves ensuring that the physical workspace is well-maintained, safe, and conducive to productivity. You will also manage and coordinate all aspects of corporate travel within Gold Standard by assisting employees in navigating the travel process.

WHAT YOU WILL BE DOING:
Facility & Office Management
* Coordinate office logistics, including mail, courier services, and corporate/Gold Standard all team events (in coordination with Communications team).
* Manage office supplies, equipment, and services, ensuring availability and cost-effectiveness, and coordinate related procurement activities as needed (incl. periodic review of service level agreements).
* Maintain inventory of office equipment, furniture, and supplies.
* Coordinate repairs, renovations, and maintenance/cleanliness activities with external contractors.
* Coordinate safety and access control management of the office premises as well as related trainings/safety exercises for employees.
* Optimize the office layout and space utilization to meet the needs of employees and teams (including meeting rooms, workstations, and common areas).
* Maintain office records, contracts, and documentation.
* Assist in budget preparation and expense tracking related to facility and office operations.
* Work with the support of the HR team to prepare Health and Safety guidelines for all employees (in office and remote), including risk assessment documents.
* Provide back up and vacation cover for the Executive Assistant and support with phone cover in Geneva office, when required.
* Coordinate staff events or activities in Geneva office.
Travel Management
* Develop and update travel policies and procedures, ensuring alignment with organizational objectives, cost-containment strategies, and legal requirements.
* Educate employees on travel policies, providing guidance and support in adhering to policy guidelines.
* Evaluate and implement travel management systems and tools to streamline travel processes, enhance efficiency, and improve data management.
* Assist employees in obtaining visas, passports, and other required travel documentation.
* Develop and implement travel risk management strategies, including travel insurance coverage, emergency protocols, and traveler safety education.
* Stay informed about travel advisories, health and safety guidelines, and other travel-related risks.
* Monitor and communicate travel alerts and changes to employees, ensuring their safety and well-being during travel.
* Coordinate with travel vendors and emergency assistance services to provide support and assistance to employees during travel emergencies.
Administrative support
Provide administration support to the COO when needed on:
* Organizing business and travel visas.
* Any other admin topics.

* Proven experience in corporate travel management or a related field.
