About the team you are joining
Reportingto the Head of Global Office Management, Corporate Administration andProcurement, the successful applicant will be responsible for supporting on alloffice lease and office project delivery activities including procurement,project management support and financial analysis to ensure efficient andeffective related processes across all IATA regions.
What your day would be like
Project management support:
Provide support in office projects of all sizes, helping in defining the scope and deliverables that will support business goals in collaboration with all stakeholders.
Assist in the preparation of budgets and forecasts.
Assist country offices and regional offices with the cost control templates and other matters.
Procurement coordination and vendor management support:
Assist with the choice of vendors and landlords.
Assist with the preparation of NDAs, tendering exercises and any other procurement documents.
Review proposals and documentation provided by landlords and vendors.
and develop financial analysis.
Support in the coordination of suppliers to ensure timely delivery of goods and services.
Contract management support:
Review contractual commercial clauses.
Send timely alerts to country and regional offices regarding the expiry of lease contracts.
Ensure timely signature of lease contracts.
Support on real estate market trends:
Evaluate the state of the real estate market and rental trends for each country where IATA is present.
Develop real estate reports for each country.
Administrative and reporting support:
Responsible for lease contract data entry and the regular updating of the database, standard office guidelines and other global office reports.
Support in collecting data for the ESG report and support with implementing sustainable practices in the offices and vendor selection processes.
Communication and collaboration:
Liaise with internal departments, including finance, legal, insurance and others to coordinate procurement and office project activities.
Communicate effectively with global teams to ensure alignment and consistency on projects.

Education: College degree preferable in economics, accounting or finance and qualificationin project management.
Experience: Minimum of 3 years of experiencein a procurement and project management role, preferably in a global or multinational organization.
Skills:
Excellent analytical skills,ability to master figures and data.
Excellent organizationalskills.
Ability to manage andprioritize several tasks and activities simultaneously and independently through analytical and problem-solvingcapabilities.
Proficiency in Excel, Word,PowerPoint and Microsoft Project.
