BACKGROUND
The IUCN World Conservation Congress brings together several thousand participants for a 7-day event, including a 3.5-day IUCN Members’ Assembly and a 3.5-day Forum with several hundred events open to the public. The Congress also includes an exhibit hall, allowing exhibitors to showcase their research and innovations. The next edition of the IUCN World Conservation Congress will take place in Abu Dhabi from 9-15 October 2025.
JOB DESCRIPTION
The Congress Logistics Associate will report to the Convenings and Sustainability Officer and be part of the Global Convenings and Events Unit at IUCN Headquarters. They will be responsible for supporting the delivery of logistical arrangements before, during, and after the IUCN World Conservation Congress 2025.
The duties involved in providing logistical arrangements for the Congress include:
1. Before the Congress:
o Support the implementation of the Congress Sustainability Policy to achieve ISO 20120 Certification.
o Assist in liaising with Congress suppliers for logistical aspects including infrastructure and venue layout.
o Coordinate the selection and logistical aspects of Congress art exhibits.
o Manage logistical arrangements (room set-up, catering, equipment orders) in collaboration with IUCN staff.
o Coordinate IUCN staff travel arrangements and liaise with relevant agencies.
o Keep IUCN staff, members, and partners informed of logistical arrangements.
o Support the design and testing of Congress management systems and ensure data accuracy.
o Update Congress website content as necessary.
o Assist with administrative tasks (inbox management, emails, translation, proofreading, etc.).
o Participate in meetings with the Global Convenings and Events Unit and site visits as required.
2. During the Congress:
o Attend Congress and support the timely delivery of all logistical aspects.
o Assist the Convenings and Sustainability Officer and the Global Convenings and Events Unit as necessary.
3. After the Congress:
o Review invoices for projects under direct supervision.
o Support the preparation of statistical analysis of the Congress.
o Document procedures for all projects handled, including lessons learned and recommendations.
o Assist with data clean-up for all Congress systems and produce summary reports.
Note: The above responsibilities may evolve, and staff members are expected to show flexibility in their approach to work.
REQUIREMENTS
* University degree or commercial section studies.
* Experience in event management preferred.
* Fluency in English; French, Spanish, or Arabic are desirable.
* Proficiency in Microsoft Office (especially Excel) and experience with event-specific software/databases.
* Excellent attention to detail and interpersonal skills.
* Ability to react quickly and manage multiple tasks under pressure.
* Service-oriented attitude and willingness to travel and work flexible hours.
* Team player with a can-do attitude and ability to build effective relationships.
SALARY
The gross annual salary for this position is between CHF 73'019 and CHF 91'274, subject to deductions for social security contributions and second-pillar pension, and before tax.
