You'll think three steps ahead and keep things running smoothly—even when priorities shift quickly.Meetings & Events: Organizing everything from strategic board meetings to high-level external engagements - you plan and execute workshops, off-sites, leadership meetings, and global management conferences, handling end-to-end administration, streamlining processes, and being present on-site to oversee logistics and coordination - nothing escapes your attention.Assist with BoD reporting by managing document collation and distribution.Travel Management: Planning seamless international and domestic travel, including visas, flights, accommodation, and transfers. You’ll ensure the CEO is fully briefed and prepared at every step.Email Oversight: Monitoring and managing inbox traffic, drafting responses, flagging priorities, and keeping communication efficient and effective.Briefing Material Coordination: Gathering documents and ensuring the CEO has all the necessary materials for high-impact conversations.Expense & Invoice Tracking: Staying on top of the details because precision matters at this level.Handle confidential and sensitive matters with the utmost discretion and professionalism.Collaborate with other EAs to ensure seamless team coverage.You might be our perfect match ifYour commercial apprenticeship is complemented by a federal degree in executive assistance.You bring several years of experience supporting C-level executives, or you are ready to transition from senior/upper management assistance into a top-level EA role.You are fluent in both German and English at a business level (must-have).You have excellent written, verbal, analytical, and interpersonal skills—you know how to get things done and how to bring people with you.You are confident dealing with senior stakeholders and board members, navigating complex environments with grace and professionalism.You thrive independently but love being part of a mission-driven team.You stay calm and poised under pressure, no matter what the day throws at you.You are tech-savvy and fully proficient in MS Office, Teams, Zoom, and ideally SAP.This role presents a one-off opportunity to make a meaningful impact by supporting a top manager at the helm of an international organization.
