We have an amazing opportunity for an Executive Assistant within our Construction Industry Services Division. In this role you will contribute significantly to our organization’s success through your expertise and proactive service. You will provide dedicated assistance to the Senior Vice President, ensuring efficiency and effectiveness. Cultivate and maintain strong business relationships with internal and external stakeholders, fostering collaboration. Construction Industries Services Division’s (CISD) mission is to build the services development, marketing and sales execution capabilities needed to develop customer-focused strategies that accelerate services growth.
Role Definition: Provides day-to-day support for executives in global administrative and coordination activities, ensuring seamless operations across international business functions.
Responsibilities:
* Assisting executive leaders by managing day-to-day global operational and administrative needs concerning tasks, responsibilities, prioritizations, and delegations.
* Facilitating domestic and international travel arrangements; assisting in payments, expense processing, and charge card reconciliation.
* Overseeing and managing office procedures, involving organizational documents, records, reports, data entry, etc.
* Supporting global communications by maintaining a master calendar including all holidays, special events, organization meetings, and gatherings involving office employees.
What you will have:
* Education and Experience: Bachelor’s degree or relevant experience
* Language Proficiency: English & French mandatory
* Proven Experience: min 8 - 10 years of experience in a similar role, preferably within a multinational company with proven ability to handle complex responsibilities at an executive level.
* Calendar Management: Demonstrate proficiency in managing complex and intricate calendars for senior executives. Coordinate schedules, prioritize meetings, and ensure efficient time management across global time zones.
* Large-Scale Events: Support the planning and execution of significant events, such as Leadership impact summits, conferences, board meetings, and team gatherings at a Global level. Ensure seamless logistics and a positive experience for attendees.
* Business Acumen: Exhibit excellent business acumen. Understand organizational dynamics, industry trends, and strategic priorities. Your insights contribute to informed decision-making.
* Effective Communication: Communicate with clarity, precision, and professionalism. Whether drafting emails, preparing reports, or interacting with stakeholders, your communication skills are paramount.
* Travel Coordination and Meeting Support: Familiarity with booking travel arrangements, including flights, accommodations, and ground transportation.
* Meeting Excellence: Prepare meticulously for meetings, ensuring all necessary materials are in place. Your attention to detail contributes to successful interactions.
