For our customer, a big pharmaceutical company in Basel, we are looking for an Administrative Assistant for GC Strategy Ops CCBP (m/f/d) to support senior/executive level leaders.

The Corporate Communications Business Partnering (CCBP) Team is part of the Group Communications (GC) Organization and actively embraces the new collaboration model, in which Business Partners and Centers of Excellence (CoE) work together to unleash greater impact through communications for Roche. Our Strategy and Operations team is dedicated to Group Communications' Strategy and supports and drives our processes. In this role, you will be supporting the Leaders of CCBP and Strategy and Operations.
The perfect candidate:
The ideal candidate has a minimum of 5 years of administrative assistant experience and 2+ years of experience supporting senior/executive level leaders. Additionally, we are looking for someone who is proficient with Google Workspace (including Google Docs, Sheets, Slides, Forms, Gmail, Google Calendar, Google Drive, Google Meet, etc.) and has financial experience for effective tracking of departmental budgets.
Tasks & Responsibilities:
1. Supports assigned leaders and teams with a variety of advanced administrative and operational activities including but not limited to scheduling and coordinating onsite/offsite meetings and/or events.
2. Manages the agenda of the leader(s) according to best practice time management principles and coordinates domestic/international travel and conference calls.
3. Coordinates the preparation of department budget, including monitoring expenses against budget, researching and analyzing any discrepancies; creates and submits purchase orders and compiles expense reports.
4. Manages intranet and Google Drives and assists with filing and organization of information.
5. Provides support on editing and formatting executive-level presentations.
6. Serves as the 'go-to person' for general operational or administrative inquiries.
7. Supports the training and onboarding of new staff in administrative processes, systems, practices, and tools as well as supports project work, planning, and organization of meetings and events.
8. Partners with other personal assistants and team members on a routine basis and provides backup support to leadership, demonstrating flexibility, adaptability, and a positive demeanor in the face of change; provides backup support to teams outside of own work area and across functions, as necessary.
Must Haves:
1. 5+ years of administrative assistant experience.
2. 2+ years of experience supporting senior/executive level leaders.
3. Proficient with Google Workspace (including Google Docs, Sheets, Slides, Forms, Gmail, Google Calendar, Google Drive, Google Meet, etc.).
4. Financial experience for effective tracking of departmental budgets.
5. Strong organizational skills and the ability to be extremely flexible while managing conflicting, shifting, and competing priorities with minimal direction.
6. Demonstrated experience handling confidential and complex issues; working in a discreet environment.
7. Proactive self-starter with excellent judgment who can work independently and anticipate the executive's needs as well as make critical decisions.
8. Quick learner, solution-oriented, proactive to the dynamic needs of the organization.
9. Demonstrated verbal and communication skills; ability to communicate clearly, concisely, thoroughly, and in a highly professional and timely manner.
10. Ability to be onsite in Basel.
11. Fluent in English.
