Position Summary
Support Staff Full-time Appendix D Contract Position (February 2025 – July 11, 2025)
Working collaboratively with stakeholders in Academic Administration and across the college, the Academic Initiatives and Special Projects Consultant coordinates and contributes to project activities for the Program Planning and Pathways team. The Consultant oversees all aspects of legal agreements between Conestoga and partner institutions, facilitating student mobility pathways. These agreements outline various educational pathway opportunities, both domestically and internationally, including tailored credit transfer agreements and student or faculty exchanges.
Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a primarily remote work arrangement, with occasional on-site meetings at Conestoga’s 3065 King St E, Kitchener, ON N2A 1B1 office, or other Conestoga campus locations.
Responsibilities
Program planning and pathways
* Manages project activities to support the implementation of new Program Planning & Pathways initiatives
* Captures requirements, conducts analysis, and assists with solution development
* Develops and updates project plans to ensure clear communication and tracking of deliverables
* Creates communication and planning resources, assets, and templates
* Participates in planning meetings, creating presentations, and presenting data and analysis
Academic agreements
* Oversees the development and review of Academic Agreements
* Provides project management and consultation to support the creation and maintenance of Academic Agreements and related Pathways
* Ensures the quality and accuracy of agreements, facilitating consultation with relevant departments
* Maintains templates for agreements and presents updates for internal approval
* Ensures that any terms of an Academic Agreement which grant credit exemption, equivalency, transfer, or Prior Learning Assessment and Recognition (PLAR) eligibility are accompanied by required curriculum mapping documentation and are approved
* Coordinates and facilitates Academic Agreement approvals and signing processes
Funded projects
* Manages and liaises on projects related to Pathways, Credit Transfer, PLAR, or broader student mobility projects, including the Ontario Council on Articulation and Transfer (ONCAT), Credit Transfer Institutional Grant (CTIG), Higher Education Equality Council of Ontario (HEQCO), or Conestoga Office of Research Services initiatives, etc.
* Acts as Conestoga’s primary liaison with ONCAT and final reports
Data analysis and process improvement
* Conducts qualitative and quantitative analysis of department and college data, presenting findings and identifying trends
* Identifies areas for process improvement
* Researches emerging trends, best practices, and funding opportunities in student recruitment and mobility, including Pathways, Credit Transfer, PLAR, dual credentials, student exchange, retention, program development, planning, or review associated with provincial funding opportunities
* Networks with similar departments across the Ontario post-secondary system to share best practices and identify opportunities for project collaboration
* Oversees online repositories to ensure data accuracy and currency
* Administers and oversees fees for Academic Agreements, ensuring accurate calculation, invoicing, and processing, in consultation with Finance
* Researches best practices for program development and renewal fees
* Develops, reconciles, and monitors budgets and credit card expenses
Qualifications
* Three-year diploma/degree in Business, Communications, Arts, or a related field of study is required
* Minimum five years of experience with project management is required; experience with contracts and agreements is preferred
* Experience in the post-secondary education sector is considered an asset
* Strong verbal and written communication skills
* Collaboration skills with the ability to initiate and oversee initiatives requiring both group and individual contributions through to completion
* Strong analytical, problem-solving, and organizational skills with a keen attention to detail
* Advanced computer application skills, including Microsoft 365, database systems, and web-based systems, with the ability to quickly learn and adapt to new software applications
