This position plays a crucial management support role for DBT executive office, handling administrative and coordination tasks essential to our CIO/CTO.
We are looking for a diligent, proactive professional with strong communication skills.
Key Responsibilities
* Serve as the primary point of contact with the CIO/CTO, for internal and external stakeholders.
* Manage executive schedules & plans, meetings, appointments, travel, logistics and finance matters for executive office.
* Lead internal communications, creating memos, newsletters, and updates as needed.
* Organize town hall meetings "DBT Insights" and Technology Leadership Meetings, ensuring all logistics are handled efficiently.
* Prepare and distribute meeting agendas and minutes and follow up on action items.
* Keep digital and physical files organized for easy access.
* Handle sensitive information with confidentiality and professionalism.
Requirements
* Swiss commercial apprenticeship with Federal Diploma of Higher Education in Executive Assistance, or similar.
* Relevant administrative experience in a digital business or technology teams as an Executive Assistant, Personal Assistant or Team Assistant.
* Strong business communication (English and German) with the ability to adapt communication styles to different audiences.
* Proficient in MS Office Suite, especially Excel, PowerPoint, Word, and SharePoint.
* Attention to detail and a commitment to maintaining accuracy, confidentiality, and integrity.
* Quick learner who can adapt in a fast-paced digital business setting, including collaboration with global teams.
