GENERAL STATEMENT of RESPONSIBILITIES:
The Administrative Assistant to the District Main Office will be responsible for providing a positive working relationship with faculty, staff, parents, and the community at-large. Responsibilities will include maintaining a high level of confidentiality and standard of professionalism, assuring smooth and efficient operation of the District Office.
PRINCIPLE DUTIES:
* Serves as the Administrative Assistant to the Associate Superintendent, Assistant Superintendents, and Directors (Safety, GEAR UP, Student Information, IT, & HR).
* Serves as District Homeless and Foster Care Liaison; serving as the communication link between the Associate Superintendent of Academics, the school sites, Transportation, the Business Office, other school district, and outside agencies as needed to coordinate services.
* Assists with compliance of federal and state programs.
* General office coverage; answers phones and greets public at the main entrance.
* General clerical functions (scheduling, copying, faxing, scanning, data entry, filing, etc.)
* Maintains general and confidential files, as required for District Administration.
* Generates correspondence, memos, and reports as required.
* Inputs, processes, and tracks purchasing requisitions.
* Keeps record of CEU units for certified staff throughout the District and produces verification certificates at the end of each year for certified employees.
* Coordinates and maintains the schedule for the use of the Governing Board Room and all district office conference rooms in both the Main Building and the A-Wing.
* Assists with maintaining HR files, paperwork, and other tasks as needed in HR.
* In conjunction with administration, maintains a daily working calendar schedule. Makes appointments, schedules meetings and notifies participants as requested by District Administration.
* Coordinates and prepares outgoing mailings as requested.
* Provides backup for Administrative Assistant to the Superintendent and Governing Board as needed.
* Performs related duties as the position evolves in a growing district.
* Performs other related duties as assigned.
OCCUPATIONAL CONDITION:
Low risk - Work is routinely performed in indoor environments, including exposure to noise and being on your feet for extended periods of time.
SKILLS REQUIRED:
* Computer software expertise and keyboard skills.
QUALIFICATIONS:
* Must possess high school diploma or equivalent.
* Must possess a thorough knowledge in the use of standard office machines and computers; including proficiency in Microsoft Office and the ability to learn specialized software programs specific to job tasks.
* Must be able to lift up to 30lbs.
* Must complete a series of secretarial tests with a high degree of proficiency.
* Must possess strong communication skills, both oral and written.
* Must possess excellent phone composure and etiquette.
* Must possess an ability to deal effectively with matters of confidentiality.
* Must possess strong organizational skills.
* Must possess a minimum of three (3) years of secretarial experience, preferably in a school setting.

POSITION EXPECTATIONS:
Time Management: Must be able to prioritize tasks assigned by supervisor and maintain various calendars and schedules.
Stress Management: Periodic stress due to deadlines and scheduling conflicts. Public Contact: Interact primarily with public, staff and parents.
EVALUATION PROCEDURE:
The evaluation is done by the Associate Superintendent and Assistant Superintendent of Academics.
SUPERVISION RECEIVED:
The Administrative Assistant to the Main District Office reports directly to the Associate Superintendent and Assistant Superintendent of Academics.
