Job Description
Title: Order Management Specialist
Reporting to: Finance Director
Contract: Permanent
Activity: Full-time (100%)
Start Date: January 1st, 2025
We are looking for an ‘Order Management Specialist’ to join the Lunaphore team and support the company growth worldwide. The role will focus on processing, managing and fulfilling orders from customers. It is a key position interfacing with customers and Lunaphore teams including Sales, Customer Support and Supply Chain.
Key Responsibilities:
1. Processing purchase orders in the ERP system and communication of order confirmation to customers.
2. Act as Nexus between Sales, Finance, Supply Chain and Management for instrument allocation and planning of shipments.
3. Manage the interaction between customer and forwarder during shipment process for the last mile delivery.
4. Responsible for the timely fulfilment of orders from customers and internal departments (Scientific Affairs, Customer Support, Intercompany purchases, etc).
5. Be the first point of contact for customers in case of issues with orders, shipments, or invoices.
6. Manage the process for returned or replaced sellable goods.
7. Planning of customer support activities, including installations, trainings and maintenances, as well as creation of quotes and order confirmation for services.
8. Coordinate the timely completion of documents for tender participations, support the sales team for vendor registrations.
9. Manage the Sales and Operations Planning, monitor the stock for finished goods and spare parts.
10. Send out customers satisfaction survey, keep databases up to date, create and manage KPIs, improve order management process.
Qualifications:
1. Bachelor’s degree in Business Administration, Finance, or similar.
2. 3-5 years of related experience, preferably in a fast-scaling company.
3. Experience in life science industries is a plus.
4. English required, French is a plus.
5. Experience with Microsoft Dynamics 365 Business Central is a plus.
6. Strong interpersonal skills, excellent problem-solving abilities, and great attention to detail.
7. Ability to work independently and with a pro-active mindset.
8. A good understanding of customer service principles.
