Job Title: Executive Assistant
Summary:
This is a highly skilled administrative role that supports senior/executive level leaders. The ideal candidate will have 5+ years of experience in administration and 2+ years of experience supporting senior leaders.
Tasks & Responsibilities:
* Schedule and coordinate onsite/offsite meetings and events, domestic/international travel, and conference calls.
* Manage the agenda of the leader(s), using best practice time management principles.
* Coordinate the preparation of department budgets, including monitoring expenses against budget and researching discrepancies.
* Create and submit purchase orders and compile expense reports.
* Manage intranet and gDrives and assist with filing and organization of information.
* Provide support on editing and formatting executive-level presentations.
* Act as the primary point of contact for general operational or administrative inquiries.
* Support the training and onboarding of new staff in administrative processes, systems, practices, and tools.
* Collaborate with other personal assistants and team members, providing backup support to leadership and teams as needed.
Requirements:
* Minimum 5+ years of experience as an administrative assistant.
* Minimum 2+ years of experience supporting senior/executive level leaders.
* Proficiency in Google Workspace (Google docs, Sheets, Slides, Forms, Gmail, gCal, gDrive, gMeet, and Calendar).
* Financial experience for effective tracking of departmental budgets.
* Strong organizational skills and ability to manage conflicting priorities.
* Demonstrated experience handling confidential and complex issues.
* Proactive self-starter with excellent judgment and communication skills.
* Ability to work independently and anticipate the needs of the executive.
* Fluency in English.
Additional Requirements:
* Able to be onsite in Basel.
