Job description: On behalf of our client, a leading biopharmaceutical company, we are seeking an Administrative Assistant to support the Medical Affairs and Commercial teams. About the customer: The client is a leader in the Pharmaceutical industry, renowned for its innovative solutions and commitment to quality in healthcare. Requirements: Vendor & Invoice Management: Manage purchase orders and process accounts payable invoices. Set up and oversee vendor management processes within online platforms. Event Coordination: Organize events using dedicated tools, ensuring approval and availability of all required documentation. Enter payment records and track event-related expenses. Administrative Support: Perform cost tracking, manage accruals, and maintain budget sheets. Provide telephone support, manage filing systems, and handle incoming post and parcels. Prepare correspondence, spreadsheets, and other documents as required. Meetings & Documentation: Attend department meetings and take meeting minutes. Ensure confidentiality in handling sensitive information. Support other administrative assistants and perform additional duties as needed. Competences: Education: Experience in similar administrative roles. Experience: Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint. Ability to work in a fast-paced environment while managing multiple tasks efficiently. Experience with financial tracking and event coordination in a corporate setting. Skills: Excellent organizational and problem-solving skills with attention to detail. Strong verbal and written communication skills in both German and English.
