Our client is a dynamic organization that strives for excellence in all areas of business. We are looking for a highly organized, proactive, and detail-oriented professional to support the Director. Key Responsibilities:
Investment Operations:
* Oversee the timely distribution of investment reporting documents via the company portal.
* Prepare and respond to investor queries, ensuring prompt and accurate information dissemination.
* Assist with the structuring of portfolio acquisition, working with internal and external stakeholders to define the best acquisition structuring accounting for legal, regulatory and tax considerations.
* Assist with the closing of funds, participating in the review, completion and submission of fund offering documentation, e.g. LPA, Subscription documents, term sheets, etc.
* Prepare, support, and participate in group companies’ board meetings
* Participate and assist corporate initiatives within group and portfolio companies, e.g. management incentive plan review, board resolutions, regulatory disclosures and filings
Compliance and Risk Management:
* Ensure Anti-Money Laundering (AML) compliance for funds in accordance with local regulations, coordinating with local service providers.
* Monitor regulatory compliance for each entity within the organization.
* Work with fund administrators and investors to keep the AML file accurate and up to date.
* Track regulatory deadlines for FATCA/CRS reporting and audits across jurisdictions.
* Prepare periodic reports for management and assist in the annual AML & Risk audit.
* Review, draft, and/or update NDAs, employment contracts, and general contracts with suppliers.
Executive Support:
* Oversee the Directors' schedules, including travel arrangements, meetings, and bookings.
* Manage and track communications for the Executive Directors, preparing emails, and scheduling meetings.
* Provide administrative support including organizing signatures, managing legal and strategic documents, taking minutes during meetings, and reviewing NDAs.
* Coordinate agendas and schedules for teams to ensure efficient operations.
* Supervise all office management tasks, such as liaising with suppliers, verifying invoices, purchasing office supplies, and maintaining the conference room system.
* Negotiate and manage relationships with external partners, such as banks and service providers.
IT Support:
* Liaise with the IT provider to ensure smooth office and technical operations.
* Assist team members with IT-related tasks, including email setup, agenda synchronization, document accessibility, and software installation.
* Manage the setup and maintenance of conference rooms.
* Periodically review and ensure the functionality of office hardware.
Qualifications:
* Bachelor's and/or Master's degree from a reputable university with a proven track record of excellence.
* Fluency in English, German and French would be a plus
* Previous experience in a similar role, preferably in an SME
