As the Headquarter Office and Community Manager, you will serve as a central point of contact for employees, the Senior Leadership Team (SLT) assistants and the broader community. You will ensure the office environment is efficient, welcoming, and aligned with the company’s values while building and maintaining a connection with the surrounding community. You will accommodate and proactively respond to a wide variety of needs, mainly related to the office location and the activities within, and will be highly organized, proactive, and skilled at multitasking, with strong interpersonal and communication skills.
Your Key Responsibilities:
Your responsibilities include, but are not limited to:
Office related:
* On a daily basis, ensure the workspace is well-maintained, organized, and equipped.
* Onboard new employees, ensuring they have everything they need to feel welcomed and integrated into the office environment.
* Help employees and their guests navigate on-site amenities.
* Showcase the workspace, encouraging employees to be productive and interact.
* Coordinate with vendors and service providers (e.g., IT support, office supplies, cleaning staff, catering, etc.) to maintain smooth operations.
* Assist in managing the office budget, including expenses related to equipment, supplies, and services.
* Implement and maintain office policies and procedures required for a productive, healthy and safe working environment including training, reporting and onboarding.
Board / Sandoz Leadership Team related:
* Support SLT assistants and Board Office with regard to conference and meeting services.
* Support the management of the calendar of annual events.
Community related:
* In alignment with the HQ site Board, foster a positive and inclusive office culture by planning team-building activities, wellness initiatives, and company celebrations.
* Work closely with People & Organization and Leadership to promote employee satisfaction and well-being within the office.
* Assist with internal communications to keep staff informed about office updates, community events, and initiatives.
* Manage the benefit components and underlying suppliers (e.g. gym, dry cleaners, etc.) and support employees with any questions or concerns.
* Coordinate diversity and inclusion activities and topics.
What you’ll bring to the role:
Essential Requirements:
* Vocational training as Project and/or Event Manager.
* Fluency in both German and English (oral and written).
* Strong problem-solving skills and the ability to work independently.
* Communication style which is inclusive, proactive, respectful with a strong customer service focus.
* Sound networking skills, and the ability to collaborate cross-functionally to achieve great results.
* Friendly, approachable, and a positive team player.
* Adaptable and able to thrive in a dynamic, fast-paced environment.
* Strong sense of responsibility and attention to detail.
* Enthusiastic about fostering a collaborative and productive office culture.
Desirable Requirements:
* Bachelor in Events, Hospitality or Facility Management is a plus.
* Previous experience in a similar role would be advantageous.
