Job Description:
Event Project management focused on Expo and Branding: client face and report; contact and management of internal and external suppliers; project execution to ensure quality and client satisfaction; organized and committed to deadlines with team and client; Development of presentations (in English and Portuguese) and reports in PowerPoint; interacting and ensuring information flow along team and client. Responsible for all matters on Expo area: floorplans, staffing needs, production schedule, etc. To order and secure equipment needed for expo area. Responsible for all branding and signage plan in the whole event. Responsible to coordinate the flow between client needs, designers, other workstream leads, etc.
Role:
Pair work with PM Master and other workstream leads;
Quotes management
Internal MCI processes
Responsible for event operation plan, execution and management (Expo and Branding perspective)
Organize and manage operations processes (schedules, check lists, cash and flow) - Negotiations with vendors, manage deadlines and schedules to be accomplished. Responsible for training and lead on-site freelancers (Expo and Branding perspective)
Tools: “Airtable”, “Planner”, schedules management. “Planner” control to accomplish the tasks on deadlines (tasks schedule from weekly meetings with client). “Airtable” control to accomplish the tasks on deadlines (tasks schedule with client to team)
Bring suggestions and ideas to the project respecting the standards that must be accomplished. Bring solutions.
Help to build and organize the information for Site Visit and Event – Operational perspective.
Job Requirements:
Experience in Events Management, planning and production – preferable corporate events – Experience in Expo; Experience in pavilion;
Knowledge in Excel spreadsheet and PPT presentation;
Advanced English - must be able to conduct a meeting and build a presentation;
Process oriented – must be an organized person and committed with schedules and deadlines;
Some knowledge in planning tools, such as Planner;
Lead vendors interaction and negotiation (Expo and Branding perspectives)
Complementary information:
Contract as PJ (salary + perks)
Start in January/2025
Home office with at least 2 meetings (sometimes more) per month in the office (Morumbi region). On site during site visits and event.
