Job summaryIn this position you will provide high-level administrative support to the Managing Director KLK Kolb Group & Tensachem and to the CEO KLK OLEO Europe ensuring seamless daily operations. This role requires excellent organizational, communication, and multitasking skills to manage schedules, correspondence, and other executive tasks effectively. Key responsibilitiesAdministrative Support:Manage and maintain the executive’s calendar, schedule meetings, and coordinate appointmentsPrepare and edit correspondence, reports, presentations, and other documentsHandle travel arrangements, including flights, accommodations, and itinerariesPrepare expense reports and credit card statementsCommunication Management:Serve as the primary point of contact between the executive and internal/external stakeholdersScreen and prioritize emails, calls, and other communicationsDraft and respond to correspondence on behalf of the executiveMeeting Coordination:Organize and prepare agendas, materials, and follow-ups for meetings Record meeting minutes and ensure timely distributionEnsure the executive is well-prepared for all engagementsProject Management:Assist in planning and executing special projects or eventsMonitor deadlines, track progress, and provide updates to the executiveOffice Management:Maintain confidentiality and handle sensitive information with discretionManage office supplies, equipment, and other resourcesCoordinate with other departments to ensure smooth operationsRelationship Management:Build and maintain relationships with clients, vendors, and team membersRepresent the executive in a professional manner during interactionsYour profileBachelor’s degree in Business Administration, Communications, or a related field preferred, or equivalentMinimum of 5 years of experience as an Executive Assistant or in a similar roleExperience in chemical or pharma industry is a plusExceptional organizational and time-management skillsStrong written and verbal communication skills in German and EnglishProficiency in Microsoft Office Suite, Google Workspace, and other relevant softwareAbility to multitask and work under pressure in a fast-paced environmentStrong problem-solving and decision-making abilitiesProfessional demeanor and ability to maintain confidentialitySelf-motivated, proactive, and detail-orientedFlexible and adaptable to changing priorities Our offerA challenging, versatile and responsible job in a rapidly growing international companyWorking place is Hedingen/Switzerland; occasional travelling may be requiredA professional, established organisation with an open, international and creative working environmentAttractive employment conditions We are interested in a long-term, successful collaboration.
