The Operations Specialist supports the Purchasing Manager Jewellery in assuring the production of the best quality products at the best price, and at the most competitive timing.
A particular focus will be highlighted on POP materials by developing new assortments and finding the most efficient solutions.
ACTIVITIES
* Helps to follow up on production orders, ensuring the correct deliveries in terms of quantity and timing
* Work closely with all business areas: product development, logistics, customer service, and sales to grant a smooth communication
* Contact vendors to give instructions on how to manage POs issued
* Guarantee that vendors provide correct shipping documentation as per the official Company requirements
* Identify and develop sales tools and POP material that effectively present the category.
* Interact with product managers and the corporate marketing team to further enhance the product communication
* Coordinating with Vendors
* Supports liaising between suppliers, manufacturers, and internal departments
* Build and maintain good relationships with new and existing vendors
* Communicate daily with factories regarding the production status
* Monitor that vendors maintain the correct shipping requirements
* Ensure POs are delivered on time and without missing pieces
* Maintaining the suppliers’ database, purchase records, and all related documentation
* Purchase invoice check
* Database and Style Creation
* Create specification sheets, style codes, and product descriptions for all new products both on corporate systems and Guess Link jewellery system
* Data system maintenance and updating
* Regularly update item assortment (newness, carryover, discontinued products)
* Manage costs and styles
POP Material
* Develop POP material tools from the initial idea to the prototype production
* Create style numbers and prices
* Negotiate quotations with vendors for the creation of new projects
* Coordinate with the product team to establish the timing schedule of trade marketing tools on a seasonal basis
* Collect orders from clients and process them for vendors
* Provide reports to monitor trade marketing tools sales
* Interacting with other functions:
* Work closely with product development to guarantee the proper execution of the produced collection
* Communication with customer service and sales in case of critical delays/shortages
* Interact with colleagues of other business units to create synergies and avoid overlapping actions
Requirements
* Experience: 3+ years of experience in a similar role
* Education: University Degree
* Excellent knowledge of written and spoken English is mandatory. Any other European language is considered a plus
* PC Skills: expert in AS400, Business Intelligence systems, and MS Office package (Excel knowledge is mandatory)
* Proactively works towards BU goals and has a problem-solving mindset
* Ability to handle multiple tasks and projects meeting the given deadlines
* Team player, dynamic personality, fast thinker, positive attitude, and sense of urgency
* Open-minded and excellent interpersonal and communication skills with the ability to interact with a diverse group at all levels
