We are looking for an Operations Manager. The candidate will coordinate all aspects of the post-deal trading activity, logistics & shipping to ensure the trade proceeds smoothly and successfully.
Responsibilities and Tasks:
1. Dealing with all operational aspects related to the purchase and sale of crude oil and oil products.
2. Working closely with traders once deals are concluded.
3. Ensuring that all crude oil and oil products for supply and trading are scheduled to the appropriate location, time, and in accordance with purchase/sales contracts.
4. Negotiating and coordinating various operational issues with sellers/buyers of crude oil and oil products.
5. Coordinating activities of terminals/refinery and vessels regarding cargo transportation, loading/unloading, and storage to ensure that all necessary operational information is communicated in good time and documentary requirements are met.
6. Drafting Sales/Purchase contracts of crude oil and oil products: ensuring that all obligations arising from the contract are carried out, and that any necessary requirements are complied with. Communicating with sellers/buyers regarding performance of Purchase/Sales contracts and storage at terminals. Monitoring compliance with contracts.
7. Drafting letters of credit and LOIs and verifying incoming letters of credit and other proofs of purchase from buyers. Coordinating the opening of letters of credit with Financial/Treasury departments, banks, and buyers.
8. Cooperating with the Shipping Department regarding chartering & freight requirements.
9. Making vessel nominations and monitoring the progress of vessels loading and discharging.
10. Liaising with independent inspectors.
11. Issuing and providing documentary instructions and requirements for cargoes to sellers and terminals; checking incoming documentary instructions and requirements for cargoes.
12. Organizing insurance coverages for cargoes (insurance policies and certificates).
13. Entering all necessary information into the software trading system correctly and in a timely manner (deal transaction creation).
14. Liaising with Finance/Treasury/Risk/Reporting/Accounting and other departments on any queries related to operational matters.
15. Issuing sales invoices, monitoring payment due dates, and following up with Accounting/Treasury.
Applicants must have:
* Previous experience in commodity trading operations and logistics;
* Fluent English, both written and spoken, is a must;
* Italian and Russian are a plus;
* Work permit in Switzerland.
Skills and abilities:
* High level of attention to detail;
* Good logical and analytical skills, problem-solving and negotiation skills, and ability to build effective relationships with counterparties;
* Ability to work under pressure and strict deadlines;
* Very good numerical skills;
* Excellent time management skills and ability to multi-task and prioritize work;
* Strong proficiency in MS Office, including Excel, Word, SharePoint, and Outlook.
