Job description:
On behalf of our client, a leading biopharmaceutical company, we are seeking an Administrative Assistant to support the Medical Affairs and Commercial teams.

Requirements:
Vendor & Invoice Management:
1. Manage purchase orders and process accounts payable invoices.
2. Set up and oversee vendor management processes within online platforms.
Event Coordination:
1. Organize events using dedicated tools, ensuring approval and availability of all required documentation.
2. Enter payment records and track event-related expenses.
Administrative Support:
1. Perform cost tracking, manage accruals, and maintain budget sheets.
2. Provide telephone support, manage filing systems, and handle incoming post and parcels.
3. Prepare correspondence, spreadsheets, and other documents as required.
Meetings & Documentation:
1. Attend department meetings and take meeting minutes.
2. Ensure confidentiality in handling sensitive information.
3. Support other administrative assistants and perform additional duties as needed.
Competences:
Education:
1. Experience in similar administrative roles.
Experience:
1. Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
2. Ability to work in a fast-paced environment while managing multiple tasks efficiently.
3. Experience with financial tracking and event coordination in a corporate setting.
Skills:
1. Excellent organizational and problem-solving skills with attention to detail.
2. Strong verbal and written communication skills in both German and English.
3. A proactive team player who can work effectively in cross-functional teams.
