A great 50% part-time opportunity within an international organization as an Administrative and Financial Assistant.
Responsibilities
Financial and Administrative Support:
* Process requisitions and invoices.
* Track the work unit's budget and expenditure, prepare reports for regular budget meetings and alert the Head of Section to any concerns.
Publishing Project Coordination
* Upon receipt of draft files and briefs for multilingual publishing projects, obtain price quotes and schedules from approved suppliers for approval by the Head of Section, and upon approval, complete financial preparations in the procurement system.
* Assign reference numbers, register schedules for each project and monitor project progress, following up with suppliers and colleagues as necessary and flagging any delays to the Head of Section.
* Liaise with external suppliers and internal colleagues to ensure smooth workflows: Send required files, briefs and guidelines to suppliers and resolve any queries with the responsible colleagues. Upon receipt of files from external suppliers, verify completeness against the brief and address any issues with the supplier before forwarding to colleagues for review, ensuring version control and proper file storage and labeling.
* Once final files are approved, verify completeness and prepare them with accompanying metadata for publishing and dissemination.
* Review invoices against quotes and services provided.
* Process payments.
Additional Responsibilities
* Monitor the section's mailbox.
* Carry out other tasks as required.
Profile
Essential:
* Minimum of 3 years of experience in administrative and financial roles.
* Proactive with excellent organizational skills.
* Strong numeracy skills and familiarity with handling data spreadsheets.
* Ability to work under pressure and meet tight deadlines.
* High attention to detail.
* Good communication skills.
Desirable:
* Familiarity with financial systems.
* Experience in publishing and printing processes.
* Experience in branding or design.
