Tasks
Role Overview
As our Operations Assistant, you will play a key role in supporting the entire team with administrative and operational tasks. You’ll assist with special projects, keep our internal systems up to date, and ensure smooth day-to-day operations. This role is a part-time fully-remote role, perfect for a working student who wants to gain valuable experience and needs a flexible time schedule.
Tasks & Responsibilities
Administrative Support
- Assist in organizing virtual meetings, including call preparation, note-taking, and task follow up items for all team members.
- Manage digital communication tools (e.g. setup accounts for Slack, Google Workspace, etc. for team members) for the
- Prepare documents, reports, and presentations as needed.
- Maintain and update internal systems such as CRM and project management tools.
People Operations
- Plan and help coordinate in-person retreats, which may include booking flights, cars, and making hotel and restaurant reservations.
- Prepare and manage team surveys to gather feedback.
- Coordinate and follow up on team members’ onboarding tasks ensuring that all tasks are completed on a timely basis.
Special Projects & Operations Support
- Support in drafting and maintaining process documentation.
- Help coordinate company-wide initiatives and maintain internal documentation.
- Conduct research and compile information to support decision-making.
- Prepare contracts for signature and filing.
Requirements
- Currently pursuing or recently completed a Bachelor's degree (we’re open to various fields of study).
- Fluent in English and German (C1 level or native); proficiency in French (C1 level or native). Must be a native speaker in either German or French.
- Must be based in Switzerland.
- Comfortable with technology and tools like Slack, Zapier, Teams, Google Suite, and Confluence.
- Strong independent research skills.
- Strong organizational skills, attention to detail, and ability to multitask.
- Self-motivated with a proactive approach to problem-solving.
