Main Objectives Of This Role
1. Participate in developing and executing HR related procedures and policies, providing guidance and interpretation for operations to continually improve efficiency of the HR department and organisation as a whole.
2. Ensure legal compliance with applicable employment laws and internal policies, and update policies and/or procedures as required.
3. Actively participate in the development of HR objectives and systems, including metrics, data, queries, and standard reports for ongoing requirements.
4. Collaborate on the development and execution of HR policies and procedures, ensuring legal compliance and continual improvement of organizational efficiency.
5. Monitor compliance with employment laws, internal policies, and external requirements, proactively updating practices as necessary.
6. Support and back up HR team members during busy periods or absences.
7. Lead or co-lead priority HR initiatives that align with organizational objectives and enhance the employee experience.
Main Responsibilities
Contracts (20%)
1. Draft, customize, and issue employment contracts in compliance with Swiss labor laws and company policies.
2. Stay updated on legal changes and apply them to contracts.
3. Organize, store, and track contracts, including expiration and renewal timelines.
4. Manage and track contract lifecycles, including renewals, amendments, and terminations.
5. Respond to employee questions regarding contract terms and conditions, ensuring clarity and understanding.
Compliance Monitoring (20%)
1. Develop effective process for tracking mandatory trainings (e.g., Safeguarding, Cyber Security, Code of Ethics) and criminal record orders.
2. Ensure compliance with NAE requirements, including meeting agreed KPIs.
3. Liaise with external partners to verify compliance with agreements.
4. Follow-up on the harvesting of documents from the personnel file with rest of HR team.
5. Participate in HR audits by collecting and organizing required documents.
6. Generate and deliver weekly compliance reports to track and improve adherence to standards.
Work Permits (10-15%)
1. Manage work permit applications for all staff, including temporary and seasonal employees (e.g., Camps, graduate assistants).
2. Ensure work permit compliance according to CDL & NAE regulations and targets.
3. Oversee the creation and management of insurance affiliations for temporary staff.
Data Quality & Compliance (20-25%)
1. Develop and enforce data quality standards, ensuring accuracy, completeness, and consistency.
2. Conduct data audits and assessments to identify inconsistencies and areas for improvement.
3. Ensure compliance with relevant data protection regulations (e.g., GDPR).
4. Monitor and report data quality metrics, identifying trends and risks.
5. Support data classification, retention, and access control processes.
6. Investigate and resolve data-related issues, ensuring timely corrective actions.
7. Stay updated on industry regulations and compliance requirements.
General Tasks (20%)
1. Working time recording monitoring in collaboration with HR team.
2. Coordinate the distribution and return of badges, keys, and IT materials during onboarding and offboarding processes.
3. Maintain departmental records and manage the shared HR inbox to ensure timely responses.
4. Answering various questions from employees in collaboration with the HR team.
5. Organize and send gifts, reviewing proposed gifts as needed.
6. Assist in drafting internal communications, ensuring clarity and alignment with company culture.
Skills And Qualifications
1. Bilingual in French and English (level B2/C1 in both languages required).
2. Bachelor’s degree in HR, business, or a related field.
3. 2-3 years’ experience in HR in an international environment.
4. Excellent communication skills, interpersonal skills, ethics, and cultural awareness.
5. Resourceful, problem-solving aptitude and thorough knowledge of HR procedures and policies.
6. Advanced knowledge of MS Office, HRIS systems, and comfortable learning new technical systems as needed.
