Responsibilities
Organization of congresses and Prof Ed activities:
Develops profed communication material (event publication for internal - email, quarterly newsletter, and sharepoint + external: registration forms + website)
Interacts with external vendors for the services related to promotional activity at the event, requests quotations and submits them to the Prof Ed and to Procurement
Follows up with local admins and marketing teams regarding registrations to profed events, and communicates periodically on the status to ProfEd Managers.
Elaborates a detailed plan containing all the necessary information related to the planned activities (project management tracking)
Creates profed events in the compliance approval system and ensures approvals are obtained
Responsible for logistics of profed: supporting with the arrangement of travel for faculty, hotel, meals, pick ups, and material required for the event are available and reserved on time.
Communicates with Prof Ed and Marketing managers the deadlines for sending the promotional materials to the event sites
Occasionally supports on-site with the organization of profed workshops
Maintains the transparency reports for all profed attendees and faculty.
Budgeting and admin process control + HCC monitoring for congresses / profed events involving HCPs:
Manages the procurement process in the system for profed events (PO creations, invoice payments, tracking, shipments), interacting with finance and accounts payable + procurement teams
Interacts with external vendors for the services related to promotional activity at the event, requests quotations and submits them to the Prof Ed and to Procurement
Aligns with approved spend to budget
Ensures that local admin managers update spend in the monthly profed and grant trackers
Event and HCP compliance control
Compliance-linked administrative activities: submits HCP engagements and ProfEd activities into compliance system, and ensures required approvals are obtained in a timely manner. Follows up with HCPs with consulting agreements, and keeps track of these in collaboration with Sr. ProfEd Coordinator
Ensures reporting is up to date for recurring audits
Prof Ed Communication / Participation in congresses:
Supports with updating internal and external stakeholders on profed plans (quarterly newsletters, updating profed website with new events, etc).
Creates content for profed events flyers, agendas, posts etc. to promote profed events with HCPs via social media.
Interacts with external vendors for the services related to promotional activity at the event, requests quotations and submits them to the Prof Ed and to Procurement
Maintains a detailed overview of sponsorship plans of congresses involving professional education activities or grants.
Supports with the International region simulator schedule and supports with shipping organization and connection with supplier for repairs.
Educational Grants
Receives and summarizes the educational grant requests for the review of the educational grant committee & maintains tracking of approvals
Ensures reviews are conducted timely (ensuring that grant reviewers approve / reject)
Interacts with the grant requestor for follow up information or grant approval/rejection communication
Ensures that all documents related to educational grants are filed (request form, approval, exception, contract, usage of funds, transparency reports from travel agency)
Documents all the grant committee decisions and keeps track of the grant requests and approvals for future audits.
Qualifications
What you will need:
Bachelors or masters degree or equivalent
Initial experience in an administrative role or in training, education, marketing, or sales within the medical device industry.
Willingness to travel up to 30% within EMEA and APAC region
Excellent skills in Excel, Powerpoint, Word, Adobe Pro
Excellent command of English - orally and written.
Excellent attention to detail & proactive attitude.
What Else We Look For:
Experience in interventional cardiology, interventional radiology, endovascular surgery is a plus, but not required.
Moderate knowledge and understanding of cardiovascular science
Experience with graphic design (for social media communication)
