Site Operations Department
The Site Operations Department is responsible for the overall health of all mechanical and electrical systems, building maintenance, and performance of all data modules in our data centers. The team is staffed 24 x 7 onsite with Critical Facilities Engineers (CFEs) working on shift. The team also consists of a small cross-site shared Facilities Team who supports the Operations team and is responsible for the upkeep of the facility in relation to building maintenance, cleaning, and waste management activities, and in some cases, the processing of goods in and out of the facility. This Site Operations team is the face of Vantage to our customers and guarantees business continuity and excellence of Operations of our campus as well as the performance of our customer installations. Position Overview
The Facility Manager is responsible for managing daily facility aspects of each building and office activities across Switzerland, ensuring that the facilities and environment are safe, clean, efficient, and well-functioning. The person will support the Site Operations Team that is managing all aspects of the critical infrastructure of the Data Center.
You will manage different FM vendors and their staff, implement best practices and performance measurement, and collaborate with cross-functional teams to drive operational excellence across our facilities in your region.
Contractor performance shall be measured against key targets, services provided, and managed using a variety of tools to ensure that the internal and external customers' expectations are met.
Essential Job Functions
1. Ensure the proper operation and maintenance of buildings and facilities.
2. Promote a strong safety culture, enforcing compliance with applicable health, safety, and environmental regulations.
3. Manage together with Procurement all supplier contracts for Facility Management services in your region and advise on potential issues with suppliers.
4. Ensure supplier performance is in line with company expectations and contracts.
5. Support Site Operations around reliability, sustainability, operational targets, budget creation as well as performance.
6. Monitor vendor performance and adherence to contractual obligations, taking corrective actions when necessary. Run periodic service review calls with key partners.
7. Support warranty tracking and communication with suppliers.
8. Assist with regional bundling of services and cost-saving proposals.
9. Management and monitoring of contracts for soft services (cleaning, outdoor fabrics, craftsman services).
10. Waste management including the according reporting.
Key Responsibilities
1. Strategic Facility Planning: Develop and implement a comprehensive facility management strategy aligned with the operational objectives of the department. Identify trends and future requirements to ensure efficiency and sustainability.
2. Operational Service Delivery: Own and oversee all aspects of day-to-day facility management, including cleaning, gardening, building infrastructure maintenance, repairs, upgrades, and installations across multiple data centers in Switzerland, as requested. Collaborate with various teams within the Operations Department.
3. Ensure compliance with safety regulations and implement best practices for a secure and productive working environment.
4. Coordinate with internal teams to support client deployments and ensure service level agreements (SLAs) are achieved.
5. Liaise with the local Site Operations Directors and/or VP, Site Operations to achieve formal acceptance into business as usual of all new build project deliverables.
6. Coordinate and oversee repair and renovation projects that affect the building envelope or exterior.
Vendor and Supplier Relations:
1. Manage relationships with external vendors, service providers, and contractors to ensure quality services and cost-effectiveness, ensuring service levels are met and costs are controlled.
2. Monitor vendor performance and adherence to contractual obligations, taking corrective actions when necessary. Run periodic service review calls with key partners.
Third-Party Contract Management: Support the OPS Procurement Team by onboarding new vendors and renewing contracts to secure favorable terms for the organization, ensuring compliance with company policies, legal requirements, and industry best practices. Collaborate with legal and OPS procurement teams to review and revise contract terms and conditions, mitigating risks and maximizing value for the company for your region.
Job Requirements
1. A degree in Facilities Management, Real Estate Management, Construction, or a Master Craftsman from a related field with further education according to FM-Switzerland.
2. At least 3 years of professional experience in a similar role, preferably in an international context.
3. Strong knowledge of building systems, construction, maintenance, and facility-related technologies.
4. Familiarity with Swiss regulations and standards in facility management (e.g., SIA, SUVA) and strong computer skills including proficiency with Microsoft Office 365.
5. Knowledge in Data Center or Critical Infrastructure industries, preferred.
6. Excellent communication and organization skills, with a strong problem-solving and analytic mindset; planning and organization skills with the ability to manage conflicting priorities and meet tight deadlines.
7. Ability to build strong relationships with a diverse range of stakeholders.
8. German and English skills are a must.
