The Marketing and Office Coordinator supports the marketing team in executing digital and general marketing activities. This role also manages building services for the Des Plaines office, assists the management team with administrative tasks, and handles various other duties as assigned. This role requires a proactive and organized individual capable of managing various responsibilities across marketing, office management, and administrative support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Digital Marketing Support (40%)
Prepare and import leads into HubSpot CRM, maintain contact lists and properties.
Assist in creating and proofing emails, workflows, landing pages, and other digital content.
Develop social media posts for promotions, events, blogs, and company updates.
Format and publish blogs, LinkedIn newsletters, and GIN articles.
Record and edit short videos for social media platforms.
General Marketing Support (25%)
Coordinate logistics for approximately ten corporate and marketing events annually, including trade shows and sales meetings.
Fulfill literature inquiries received via phone or email and monitor literature portal inventory. Create accounts for Sales Reps.
Maintain the marketing event calendar, track contracts, and ensure communication among the marketing team.
Manage promotional SWAG stores with third-party vendors and maintain rep lists. Annual review of offerings, budget and communications to Sales Reps.
Handle marketing vendor proposals, contracts, and new vendor setups, and process paperwork through DocuSign.
Create and monitor purchase orders (POs) for marketing projects and review and approve marketing invoices through SAP.
Maintain contact lists for Chicago Faucets and Geberit Sales Reps.
Serve as the primary contact for maintenance staff and all office issues or questions.
Manage and approve ordering, upkeep and stocking of office and coffee supplies and equipment. Approve purchasing requests from various departments.
Supervise the maintenance, upkeep, and appearance of the Des Plaines office building.
Manage the AMEX GBT account and create travel accounts for employees as needed. Manage hotel corporate agreements. Assist as needed.
Support teams with shipping needs.
Create POs for non-CAPEX building projects and monitor monthly open POs.
Management Team Assistance (10%)
Assists President, Marketing, Finance, Engineering, Sales Vice Presidents, and Director of Quality with scheduling needs, mail distribution, and IT set up for quarterly meetings.
Send employee anniversary letters.
All other duties as assigned (5%)
Assist CFO with special projects as needed.
Handle catering requests for internal department events.
Write and post articles on company Intranet.

EDUCATION and/or EXPERIENCE
Required:
3+ years’ experience in an office environment
5+ years of Microsoft office application experience.
