We are currently looking on behalf of one of our important clients for an Office & Facilities Manager in Zurich Canton. This role is on a contracting basis for 12 months with the possibility of extension.
Your Role:
1. Hold responsibility for the Management & Operations of an office environment (approx. 25 employees), ensuring it is clean, safe, productive, & well-maintained.
2. Oversee company facilities, coordinate maintenance & repairs, manage vendors & ensuring compliance with health & safety regulations.
3. Manage day-to-day office operations, including office supplies, mail & equipment.
4. Implement office policies & procedures.
5. Coordinate with an IT department on all office equipment.
6. Oversee company car administration.
7. Plan & manage facility central services such as reception, security, cleaning, waste disposal & parking.
8. Manage contract & price negotiations with office vendors, service providers & office lease.
9. Oversee the facilities & grounds to protect property & personnel against potential risks.
10. Inspect equipment to ascertain if tampering has occurred & reports irregularities.
11. Clear out & destroy an archive (old folders, etc.) that no longer needs to be kept.
12. Provide support with tenders – supplement documents, obtain information, etc.
Your Skills & Profile:
13. Proven experience as an Office Manager or Front Office Manager.
14. A good knowledge of office administrator responsibilities, systems & procedures.
15. Familiar with the basic principles of facility management.
16. Proficient in MS Office (particularly MS Excel & MS Outlook).
Your Profile:
17. Completed Higher Education, ideally focused on Business Administration, Facilities Management, or similar.
18. A high level of drive, accountability & responsibility.
19. Collaborative, confident, assertive, proactive, resilient, adaptable & positive.
20. Excellent time management, organizational & planning skills & very proficient in multi-tasking & prioritizing work within fast-paced environments.
21. Fluent German language skills (spoken & written to at least C1 Level) & business proficient English are mandatory requirements. Any French & Italian skills are advantageous.
