AmaWaterways is seeking a dedicated, organized, and resourceful Administrative Assistant to provide comprehensive support to the Director of Cruise Managers. The ideal candidate will possess exceptional organizational and multitasking skills, the ability to work independently with minimal supervision, and a proactive approach to problem-solving. Fluency in English and proficiency in Microsoft Word and Excel are essential, as are flexibility, the ability to travel, and a valid driver’s license.
Key Responsibilities
Administrative Support
1. Manage calendars, schedule meetings, and coordinate appointments
2. Prepare, proofread, and edit correspondence, reports, and presentations
3. Maintain organized files and records, both physical and digital
4. Assist with logistics for Cruise Manager events and training sessions, including venue coordination
Communication and Coordination
1. Serve as a point of contact for internal teams, Cruise Managers, and external partners
2. Draft and distribute announcements, memos, and updates as needed
3. Liaise with other departments to ensure seamless operations and communication
Event Support
1. Assist in planning and organizing Cruise Manager meetings, conferences, and training sessions
2. Coordinate materials, supplies, and logistics for events, including on-site support when needed
Data Management and Reporting
1. Maintain and update databases and spreadsheets
2. Prepare reports and summaries using Microsoft Excel and other tools as required
Driving and Travel
1. Drive as needed to support the Director’s travel or event-related requirements or to visit ships
2. On occasion, travel domestically and internationally, often on short notice, to support business needs.
Qualifications
1. Language: Fluent in English (written and spoken)
2. Technical Skills: Proficient in Microsoft Word, Excel, and other Microsoft Office applications
3. Organization: Highly organized with strong attention to detail and time management skills
4. Independence: Self-motivated and able to work efficiently without direct supervision
5. Adaptability: Comfortable handling a dynamic workload and shifting priorities
6. Travel: Willing and able to travel domestically and internationally as needed
7. Driving: Possess a valid driver’s license and confidence driving in various conditions
8. Personality: Proactive, resourceful, and a strong communicator with a positive attitude
Preferred Qualifications
1. Experience in the travel or cruise industry
2. Familiarity with additional languages (advantageous but not required)
