Customer Visit Coordinator and Administrative Assistant 40-60% (m/f/d)

The site in Visp is growing and for Ibex Solutions, our recently launched unique biological manufacturing and development concept in Visp, Switzerland, we are currently looking for a Customer Visit Coordinator and Administrative Assistant to support our Biologics Operations Administration Team in Visp.
The role requires flexibility, a solution-oriented way of working, excellent planning and organizational skills, attention to detail, as well as a good sense of discretion and confidentiality. Candidates applying for the position ideally bring experience in a similar position.
Key Responsibilities
1. Admin support to organize customer visits within Mammalian Program Management Visp.
2. Organize customer meetings, trainings, workshops, and various meetings (internal, external, local, and international) for Mammalian Program Management Visp.
3. Support customer visits to guarantee the best customer on-site experience.
4. Support Program Managers in organizing Person in Plant visits.
5. Maintain calendars and diaries, provide presentations & meeting preparation notes, arrange business travel, and track/process expenses and relevant invoices.
6. Onboarding coordination for new employees in close cooperation with the responsible HR manager.
7. Manage Purchase Orders end to end (Create POs in SAP, track invoices and costs against the PO, extend where necessary, or request additional PRs if needed).
8. Act as a Timekeeper for Program Management Operations Visp (Kronos).
9. Administration and setup of SharePoint pages for Mammalian Program Management Visp.
Key Requirements
1. Business Administration Diploma or equivalent knowledge through experience.
2. 5+ years of experience in an administrative position.
3. Excellent knowledge of German and English.
4. Proficient in MS Office Suite including Skype.
5. Excellent communication skills and a sense of humor.
6. Strong experience in dealing with stakeholders at senior management level; ability to independently set priorities; good time management skills; and a good team player.
