Vacancy: an Office Manager (f/m/x) - We are looking for a PR Manager (f/m/x) to start immediately for our client, a trading company based in Zürich. For this position, the employee in question will be hired on a project basis. The support, placement and all of our additional services are free of charge for you as the applicant.
Your Responsibilities as an Office Manager (f/m/x)
· To welcome and meet all incoming visitors at reception area in a professional and friendly manner, ensuring all visitor needs are met
· Coordinate onsite customer and internal events; liaising on all requirements including arranging meeting room layouts and catering assistance
· Organize the end-to-end process of post, directing all on site deliveries and post for internal distribution, assisting with parcel collection and sending
· Coordinating catering, incoming & outgoing mail, including maintenance of the team mailbox, any other 3rd party office services, stock control as required
· Order stationery and consumables for the office and ensure areas are stocked and adequately and neatly kept and maintained
· Site Safety Security - championing site rules and environment; being the first point of contact for all safety and security enquiries (including keys, access badge control & health & safety matters), inductions, access card & key deployment
· Invoice payment and setting up new suppliers on Internal procurement system, understanding and adhering to D&B supplier onboarding process
· Supervise and coordinate maintenance and cleaning works, contractors and landlord, Managing and prioritizing tasks and queries as part of the day-to-day role, putting in place best practices in workplace management
· Office communication - ensure that clear communication is provided to the site and leadership team in workplace matters
· Hold the roles of Facilities Risk Assessor, Fire warden and First Aider and coordinate the evacuation process with the other facilities team members
· Work closely with the Workplace Team, Senior Manager and assist in ad-hoc and planned tasks as requested
· Sustainability: Understand ESG company objectives, ISO Standards and ensure record keeping of data collection and records, support the organizing local environmental events and initiatives at office
Your Qualification and Skills
· Experience in a similar environment and role
· Excellent customer service skills with a service-oriented mindset
· Strong interpersonal skills with the ability to interact and communicate effectively
· Works independently performing administrative functions with minimum amount of direction
· Open for change and new ways of working
· Energetic, approachable and representative of D&B, ensuring our customers and visitors feel at home
· Strong administration and Microsoft office skills (O365)
· Excellent planning and organizational skills, which includes a high level of written and verbal communication skills in both English and German
· Punctual and excellent time management.
· Observe and voice of 'doing the right thing' to always follow site rules and regulations.
